Events that work
Here are some popular types of events on our campus. If what you have in mind isn't listed, contact Carla for more ideas. When booking an event, please include the proposed date, start and end times, number of participants, name or purpose of the event and contact details.
Club and society regular meetings
If you plan to hold your meetings at the same time on a regular basis, Carla will strive to ensure you have the same location. You do not have to be a formal SRC club or society to book a meeting room on campus; however, be prepared to provide a student number and details.
Movie night
Many clubs and societies find movie night very popular. Simply book your event through Conference Services and then pick up an ACF copyright form from the WCL circulation desk.
Tables near Tim Hortons or outside the cafeteria
These tables are popular for providing students with information, selling tickets, holding raffle draws and event sign up. These tables need to be booked through Conference Services. They are not first come, first serve.
Potluck
Groups of approximately 25 students sharing food with each other, cooked by the students. Please complete a food approval form and email it to Linda Steeves at Aramark or fax to 648-5764 at least 10 working days prior to the event. You can book your space with Conference Services.
Bake sale
Locations available are WCL 2nd floor foyer, GHLT Foyer and IH Foyer – a traveling bake sale is a good idea as well. Just decorate a cart, fill it with baked goods and go around to the offices. Please complete a food approval form and email it to Linda Steeves at Aramark or fax to 648-5764 at least 10 working days prior to the event. You can book your space with Conference Services.
Note that the table by Tim Hortons is no longer available for bake sales.
Social events at Colonel Tuckers
Groups can hold events during regular bar hours or reserve Colonel Tuckers for a private event. To use Colonel Tuckers you require bar services and there is a $50/hour minimum. For more details consult the student bar services contract.
Student events open to the public
The first step is to book your space with Conference Services. Once you decide who is paying for it and you have a budget, you'll need to get a PO number from SRC. The PO number is due 10 business days before the event and the number of people attending is due 5 business days before. If the SRC is not paying for the event, a 50% deposit is required 10 business days before and the number of people with final payment is due 5 business days before.
Linens: All buffet tables will have tablecloths provided. However, if you wish to have it skirted there is a $10 charge per table - extra tablecloths are $6 each. Guest table linens may be subject to a charge depending on the size and type of function. If you want to save money, you can bring your own linens.
The student food order form is just for informational purposes. It is not an actual quote, but it will give you an idea of costs. Once you have the details organized, email the form to Linda Steeves. Linda will be happy to assist you with menu suggestions. Our Classic Fare Catering Menu has a wide range of tasty options.
Note: External food service providers are not permitted on campus. For example: a local restaurant cannot supply food for an event. To safeguard the health and safety of our customers, foods not consumed must not be removed from the room.
