Managing Your Accesses

How do I know what I currently have access to, as well as what I have the potential to request?

On the left-hand side of the screen you will see all the accesses that you currently have.  Accesses that are greyed out are ones that you do not have the ability to modify directly and will require your supervisor or alternate supervisor to request on your behalf.

Any accesses that are set to expire within 30 days will appear with an exclamation point icon.

If you have recently modified an access it will appeared greyed out with an ‘update pending’ notification beside it.

On the right-hand side of the screen you will see all the accesses that you have the potential to request.  The accesses that are greyed out are ones that must be requested on your behalf by your supervisor.

Please keep in mind that requesting a certain access does not necessarily mean that it will be approved.  Some accesses require further approval from the administrators of those systems.

Note: Supervisors and Portfolio/Envelope Managers & Contacts must select ‘myself’ under ‘Review/Search accesses for’ to view their own accesses.

How do I request access to a service or system I do not currently have?

Search for the system using the search box on the right-hand side of the screen, or scroll through the listing. 

Click on the title of the access you are looking to request and fill out the ‘expiry date’ and ‘reason for addition’. If you are unsure what a particular title means, hover your cursor over a title to see a detailed description of that particular access.  The expiry date can be no longer than one year from the date the access is requested (i.e. if you request the access on June 26th, 2014, the expiry date must be June 26th, 2015 or earlier).

You can request access to more than one system at a time by using the selection boxes next to the title of an access.

When you have added all the details needed to complete the request, scroll down to the bottom of the screen and click ‘submit’.

Note: some accesses may require your supervisor, or alternate supervisor (who approves your LeaveOnline or WebTimeEntry requests), to request them on your behalf.  In those cases please speak with your supervisor.

How do I remove an access I currently have?

Under ‘Has access to’, click on the title of the access you would like to remove.  This will expand to show ‘remove this access’ and ‘reason for update’.  Check off ‘Remove this access’ and scroll to the bottom of the page and click ‘submit’.  You will then need to confirm the removal.

How do I extend the expiry dates for all of my accesses?

Under ‘Has access to’, check off ‘Extend all accesses to’ selection box and select a date by clicking on the date box.  Proceed to the bottom of the page and click ‘submit’, you will need to confirm the request.

Note: 'extending all accesses' only applies to the accesses which you have the ability to request modifications.  All others will need to be extended by your supervisor.

I have an access expiring soon, what do I need to do?

You must request to extend the access prior to the expiry date or you will lose access to that particular service or system.  You will find any accesses that are set to expire soon at the top of the listing under ‘Has access to’.  To extend access, click on the access you wish to extend and fill in the appropriate details.  Proceed to the bottom of the page and click ‘submit’, you will need to confirm the request.

Note: Any accesses that are expiring which you do not have the ability to request on your own behalf will appear further down the list, 'pink' coloured.  These must be actioned by your supervisor or alternate supervisor.

Why do I not have the ability to extend some accesses that are about to expire?

Some accesses are given to you by default as a  UNB faculty/staff/student, and require no action from you.  These accesses will automatically renew for the upcoming year, which means there will be no email reminders sent to you 30 days prior to the expiration date.
