Accommodated Testing

Exam Accommodation Request form

NOTICE of NEW POLICY for Students registered with the Centre who recieve extra-time when writing tests. The following procedure is effective immediately: "When a student is provided the accommodation of extra-time to write a test at the regularly scheduled class time, it will not directly cause the student to be tardy or absent in another course, unless the student chooses to do so as part of that accommodation. Furthermore, the student should not be expected to miss class time." If you write your tests with us at the Centre, please discuss this new policy with a SAC staff member. (Posted Fall 2012)

Accommodated Testing  and Examination:  Information and Procedures

Students registered with the Student Accessibility Centre and approved for Test and Exam Accommodations must complete the Request for Accommodation Form at least 5 days prior to the scheduled test to ensure space and invigilator availability. Requests not made in a timely manner may result in a student having to write without accommodations.

PLEASE NOTE: The process for requesting FINAL EXAM accommodations differs. A deadline is set each term and students are notified via eDaily/eNews and our website as to when to submit their Final Exam requests.

Evening exams that are scheduled to be written at 7 PM will begin at 6 PM. Students are not permitted to leave the Centre until one-half hour of the regular exam period has expired.  If you have any questions or concerns regarding your evening exam please contact the Centre for clarification.

Exam Accommodations can include (but are not limited to):

  •     Extra Time
  •     Separate Location
  •     Scribe
  •     Reader

Arranging an Accommodated Test/Exam

  1. Complete the Request for Accommodation Form with your instructor's signature and return the form to the Centre 5 days prior to the test date. Forms can be faxed, scanned, emailed or delivered to the Centre. It is the STUDENT'S responsibility to return the form to the Centre not the department or Instructor. PLEASE NOTE: The process for requesting FINAL EXAM accommodations differs. A deadline is set each term and students are notified via eDaily/eNews and our website as to when to submit their Final Exam requests.
  2. Your name will be added to the schedule and a room will be booked for you to write your exam with the accommodations you require.
  3. A few days before the test/exam, an email is sent to your instructor with the details of the exam and delivery instructions.
  4. Accommodated test/exams are written at the Centre. Tests/exams are written at the same time as the rest of the class unless alternate arrangements are made with the instructor.
  5. Completed exams are delivered to the Department usually within 24 hours of completion.

Accommodated Tests/Exam FAQ

What happens if I arrive late to my test/exam?

If you are 5 or more minutes late for your exam, the time will be deducted from your overall writing.  Exams cannot be started once 30 minutes of regular writing time has passed.

What if I am unable to find my instructor to sign the Request for Accommodation form?

While every attempt to locate the instructor should be made there are times when it is not possible to have the form signed and returned within the 5 day period. In such cases SAC will accept Accommodation requests without being signed as long as the student notifies the instructor prior to the exam day that he/she is writing at the SAC.

What if I forget to schedule my test/exam?

Exceptions can be made; however,  the Centre cannot guarantee your request will be accommodated. Students who make repeated late requests will be referred to the Disabililty Resource Coordinator.

What if my accommodation of extra-time for tests causes me to be late for my next class?

If the accommodation of extra-time causes a student to be late or absent for his/her next class, an alternate time can be arranged in consultation with SAC, the instructor and the student.

I would like to write my exam at a time different than my regularly scheduled class?

The SAC does not make decisions as to when a student can write an exam. Any alterations to an exam (time/day) must be approved by the Instructor. If an alternate date/time is required it is the Students responsibility to request the change and to notify the SAC.

Information for Instructors

  • Instructors will receive a letter outlining a student's accommodation needs for his/her courses.
  • Students are responsible for informing their instructors at the beginning of each semester for each course in which they require accommodated tests and exams.
  • Students will provide instructors with a Request for Accommodated Examination form, which is to be signed and dated by the instructor, and returned to the Centre by the student. This form details the course name and number, name and contact information of the instructor, and the date, regular duration and regular location of the exam(s).
  • The student returns the form to the Student Accessibility Centre in order to schedule an onsite examination. Notification of the need for an accommodated exam must be provided to the Centre by the student at least 5 days prior to the scheduled exam time.

Exam Delivery

The Student Accessibility Centre contacts the instructor (or his/her delegate) via email or telephone to confirm the date and time of the exam, and to make arrangements for exam delivery within 24 hours of the exam date, as follows:

  • Tests/exams and instructions can be forwarded to the Student Accessibility Centre via email, to unbds@unb.ca. This email address is only accessed by qualified staff at the Centre. Exams sent to unbds@unb.ca are printed upon receipt, placed in a sealed envelope, and stored in a locked cabinet until the exam is administered.
  • Test/exams and instructions can be faxed to the Centre at 453-4765, after the Centre is contacted via telephone (453-3515) to ensure that a qualified staff person is available to remove the test/exam from the fax machine immediately upon arrival. The test/exam is then placed in a sealed envelope, and stored in a locked cabinet until administered.
  • For situations where electronic delivery is not possible or preferred, instructors (or their delegates) can place the test/exam, with instructions, in a sealed envelope and hand-deliver it to the Student Accessibility Centre (Room 212, Marshall d’Avray Hall), within 24 hours of the scheduled test/exam invigilation.

Invigilation

  • All test/exams administered onsite are invigilated by staff members or graduate students.
  •  Accommodated test/exam schedules will follow the regular test/exam schedules. The exception is made during final exams when 7 PM exams will begin at 6 PM to ensure invigilator availability and balance the extra time some students receive. When students begin their final exam at 6 PM they are required to stay at the Centre until 7:30 PM to maintain exam security.
  • Completed test/exams are placed in a sealed envelope and locked in a secure cabinet onsite pending delivery.

Exam Return

  • Completed tests/exams will be scanned, emailed and then returned to the instructor via campus mail. Instructors are welcome to pick up their completed tests/exams at the Centre during regular business hours.
