Salary Range:
$41,787.00 - $52,233.00 per annum

YOUR FOCUS:
- Schedule, plan, and keep strategic priorities on track.
- Coordinate meetings and travel, screen/prioritize requests, and prepare meeting materials.
- Prepare and compose contact reports, memos, letters, and presentations, often of a highly confidential nature.
- Coordinate meetings, agendas, minutes, and materials for the Alumni Council and its committees.
- Process and track financial transactions for both internal and external accounts, including trust accounts.
- Prepare financial reports for the Associated Alumni, which include monthly bank reconciliations, invoicing, quarterly financial reports, and the use of Sage accounting software.
- Work with the Treasurer of the Association to support the Alumni Council Finance Committee, attend meetings and deliver the Associated Alumni Sponsorship program. Work with partners to ensure details of agreements are met and payments/financial reporting is in order.
- Plan logistics for events and meetings. Coordinate space, set-up, and food/beverage service. Aid with technical needs and greet/help guests.
- Ensure office space, equipment, systems, and supplies are in good working order.
- Engage in continuous improvement of the systems and processes the team uses to accomplish our work.
- Ensure timely, helpful, and friendly responses to a wide variety of inquiries.
- Actively contribute to a culture of teamwork, collaboration, and best-in-class service.
- Support team members in various projects and tasks.
WHAT YOU BRING:
- University degree, preference will be given to UNB alumni.
- 3-5 years' experience in an office environment, ideally with a focus on client service, post-secondary education, and/or non-profit board/governance.
Additional Strengths
- Demonstrated sound judgment, and strong problem-solving and critical-thinking skills.
- Comfortable managing executive calendars, travel, and priorities.
- Experience with Microsoft 365 Suite, especially Outlook, Word, Excel, Teams, Forms, Planner, and SharePoint.
- Knowledge of and experience with accounting practices, accounting software (e.g., Sage 50), and budgeting.
- Excellent verbal and written communication skills.
- Ability to try new ways of doing things, adopt new technologies, and engage in continuous improvement and lifelong learning.
- Able to deliver high-quality results under pressure, tight deadlines, and often evolving priorities.
- Friendly and diplomatic with the enjoyment of building relationships with a wide variety of people.
