Salary Range:
$20.45 - $23.75 per hour

YOUR FOCUS:
- Provide initial contact for the Graduate Programs Office for Faculty, Staff, Students, and the general public.
- Receive all incoming calls and graduate emails; direct them to appropriate individuals and respond to inquiries.
- Arrange meetings as requested.
- Maintain official student files and databases including deferrals, withdrawals, and transfer credits.
- Process graduate applications; including an updated spreadsheet of all applicants within the PhD program and 7 MEd programs. Follow up to ensure completion.
- Assist and update the graduate student handbook and graduate website.
- Manage course waitlists and assist with the course timetable.
- Assist with reimbursable and logistics for international projects when needed.
- Provide general counselling regarding the MEd programs with prospective and current students.
- Prepare regular reports including tables & graphs.
- Provide support on various databases and update website on regular basis.
- Submit forms for student status, completion letters and program transfers.
- Prepare ads and draft contracts for Contract Academic Employee's, as per the collective agreement.
- Arrange courses, timetables and database for all Trinidad and Tobago cohort students.
- Process and follow procedures for Research Ethics applications.
- Post courses to the timetable for Fall, Winter, and Summer.
- Compose letters for confirmation of enrollment/completion requirements for graduate programs.
- Prepare notifications for program withdrawals, course withdrawal and transfer credits.
- Process annual progress reports for all PhD, and for Thesis-and Report-based MEd students.
- Verify degree completion forms required for graduation, cross reference final review of graduation list.
- Consult with ROYTEC located in Trinidad & Tobago on a regular basis regarding student progress and completion of degree requirements.
WHAT YOU BRING:
- Post-secondary diploma in business administration or a related field.
- Minimum 3-5 years related experience in an academic setting with some of this in graduate programs
Additional Strengths
- Ability to multitask, work at a rapid pace with accuracy and attention to detail.
- Able to analyze and solve problems, make decisions, and meet deadlines.
- Work independently with minimal supervision.
- Knowledge of Datatel System (Colleague, Financial) would be considered an asset.
- Basic financial accounting knowledge.
- Knowledge of the Educational Community is an asset.
