The University of New Brunswick Fredericton welcomes applications for the position of Quality Assurance Coordinator/Administrative Assistant with the Office of the Associate Vice-President Academic. This is a one-year term, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $40,196 - $50,210 per annum.
As Quality Assurance Coordinator, this position ensures that the quality assurance reviews of all academic and non-academic units on both campuses are completed within the time constraints required and ensures that the review process is conducted according to the policies and procedures. This position is also responsible for providing executive administrative support to the VP Academic in the absence of the Assistant to the VP Academic.
Position Summary:
- Provide Administrative Assistance to the Associate Vice President Academic (Learning Environment).
- Assist in organizing and hosting campus-wide events (i.e., the annual retirement dinner).
- Handle confidential information and correspondence.
- Arrange travel for AVPA. Schedule and maintain the AVPA's daily agenda.
- Handle accounting for AVPA accounts - process invoices and expenses and reconcile monthly account statements.
- Serve as direct contact person for the AVPA office. Perform general office duties.
- Keep informed on specific support needs of the AVPA to ensure priority items are addressed first.
- Schedule campus-wide, bi-campus, and UNB-STU committee meetings on a regular basis.
- Provide administrative support to committees - arrange logistics, attend meetings, record minutes, distribute minutes and supporting documents to members of committees and ensure follow up action items are addressed.
- Manage the process of quality assurance reviews and initiatives on both campuses.
- Liaise with the with Committees and Senate in respect to quality assurance reviews.
- Coordinate and schedule all academic and non-academic program reviews following guidelines, policies, and procedures.
- Prepare annual quality assurance reports for the Senate Academic Planning and Resource Committees.
- Create and maintain a database of all quality assurance review findings and action plans.
- Create reports from database to track follow-up action plans.
- Serve as direct contact person for the entire university relating to quality assurance matters.
- Ensure the VPA website is current and complete.
- Provide executive administrative support to the Vice President Academic in a backup capacity to the Assistant to the Vice President, as required.
Requirements/Skills:
- Post-secondary diploma/certificate with business and computer training. University degree would be an asset.
- Minimum of 5 years of related executive administrative assistance with supervisory capabilities and the ability to work with minimal supervision and guidance.
- Proficiency in computer applications including Word, Excel, Access, Power Point, Internet, Electronic mail.
- Proficiency in Contribute (web software) would be an asset.
- Demonstrate ability to multitask, work independently, as well as within a team environment.
- Attention to detail.
- Familiarity with University Policies and Procedures, MPH EC policies and guidelines with respect to quality assurance would be an asset.
- Appreciation of confidentiality.
