The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL5 (Undergraduate Awards Administrator) with Undergraduate Awards. This is a continuing, full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $22.02 - $26.05 per hour.
Reporting to the Director, Undergraduate Awards, the Secretary PL5 (Undergraduate Awards Administrator) is the front-line person who provides customer service to prospective and current students, parents, guidance counselors, scholarship donors as well as to faculty and staff on both campuses.
Position Summary:
- Review and evaluate students' transcripts for eligibility under different scholarship programs.
- Notify successful and unsuccessful recipients of the Sir Howard Douglas scholarship.
- Contact accepted students who have not completed the Entrance Scholarship Application.
- Run reports to determine continued student eligibility for scholarships, and cancel scholarships in systems, as needed.
- Coordinate with other UNB units and departments.
- Reach out to faculties regarding faculty-nominated entrance scholarship nominees.
- Email scholarship recipients of the credit hour requirement for scholarships. Handle any complaints or inquiries.
- Input awards for students using various databases, including Access and Colleague.
- Send the nominees for the Scoudouc scholarships to the President's Office for final approval.
- Advise students of their scholarships and renewal requirements as well as any changes to their awards.
- Review new scholarship and bursary descriptions. Ensure they meet the Senate approved wording.
- Greet all visitors/callers to the Undergraduate Awards Office and respond to most inquiries.
- Explain to students and parents/guardians, the scholarship programs that UNB offers, provide information on the eligibility requirements and application processes.
- Manage the application process to ensure the applications and supporting documents are received.
- Review the application forms for the major awards to ensure accuracy.
- Maintain the Undergraduate Awards website. Add timely information such as the entrance application link.
- Coordinate the date for the Sir Howard Douglas dinner and arrange for a UNB photographer.
- Maintain scholarship information in Colleague, MS Access and the UNB online undergraduate calendar.
- Meet with Recruiters before the Fall term begins to review critical information regarding scholarships.
- Outline the various application deadlines and processes for potential UNB students.
- Attend Recruitment Open Houses to meet with students and their supporters to discuss UNB scholarships.
- Other duties as assigned by the Director, Undergraduate Awards
Requirements/Skills:
- Post-secondary education, an undergraduate degree is preferred. 5-8 years' relevant experience in client service with a proven client service attitude. An equivalent combination of education and experience will be considered.
- Exceptional computer skills, including MS Office, Adobe.
- Experience with Ellucian's Colleague, Microsoft Access, and internet/email programs will be considered an asset.
- Ability to work with high school and university students.
- Exceptional people, telephone and email skills demonstrating discretion, tact, and judgment.
- Exceptional organizational, verbal, and written communication skills. Attention to detail is a must.
- Proven ability to meet deadlines and provide quick reaction to requests.
