The University of New Brunswick Fredericton welcomes applications for the position of Assistant Manager, Student Accounts & Receivables with Financial Services. This is a continuing, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $47,500 - $61,753 per annum.
The Student Accounts & Receivable Services unit of Financial Services is responsible for the timely and accurate billing, collection, deposit, and recoding of all university revenues. This includes recording all student fees and related charges, processing external invoices for general and research receivables, collection of non-student receivables and administering university trust loans. This position reports to the Manager, Student Accounts & Receivable Services.
Position Summary:
- Oversee the review of the Trial Balance report bi-annually on the Student Receivable.
- Work with the Supervisors to implement a plan of action to review accounts for accuracy, oversee the planning and procedures to collect unpaid fees, including the mailing of statements and/or phone calls and email communications, balances to be written off, and analyze and determine debit and credit accounts that should be forfeited.
- Work with students who are unable to pay tuition by the due date, discuss payment arrangements and advise them on options.
- Coordinate the general process of payment plans, acceptable down payment limits, new processes, etc.
- Ensure that all payments received by all methods are receipted in a timely manner.
- Ensure that departments submit deposit forms and make bank deposits in a timely manner and follow appropriate cash handling procedures.
- Oversee and manage the weekly Direct Deposit refund process for all receivables including Saint John campus and the College of Extended Learning.
- Review the list of graduating students for Convocation and Encaenia to ensure all fees owed to UNB have been paid. Contact students with outstanding fees to discuss and arrange payment.
- Review reports for data integrity for regulatory income tax document T2202A, analyze accounts and make all corrections prior to producing T2202A's.
- Resolve complaints and disputes with students and customers disputing policies and procedures relating to refund procedures, freezing of IT Services, and collection of overdue fees.
- Supervise 2 staff members, who are responsible for staff and student employees.
- Hold regular staff meetings to discuss customer service enhancements, procedure changes, and review pertinent items prior to a new term starting.
- Manage the relationship with BMO, CIBC Global Pay and Higher Ed Points and ensure all their updates run smoothly with UNB's Colleague system.
Requirements/Skills:
- Post-secondary education. Minimum of 7 years' experience in a mid-to-large financial environment, preferable post-secondary, working with a computerized system with at least 2 years of supervisory experience. An equivalent combination of education, training and experience will be considered.
- Customer service focus, strong verbal and written commination skills and excellent organizational, technical, and problem-solving skills. Account collection and/or lending experience is an asset.
- Sound understanding of accounting principles along with a high aptitude for math and attention to detail.
- Highly proficient computer skills with the ability to do data sharing with external agencies.
- Ability to adapt to work under pressure of time constraints, and to meet deadlines, while maintaining accuracy in detailed tasks.
- Have a customer-focus attitude with the ability to provide clear explanations of decisions in a straightforward manner.
- Knowledge of latest versions of Microsoft Office with excellent Excel skills.
- Ellucian Colleague experience would be an asset.
- Excellent knowledge of CRA guidelines as they apply to T2202A and T4A.
