The University of New Brunswick Fredericton welcomes applications for the position of Clerk PL4 (Admissions Assistant - Domestic) with the Registrar's Office. This is a full-time (36.25 hours per week), one-year term position with the SALAC employee group. The position is funded by the University Budget with a salary range of $20.45 - $23.75 per hour.
Reporting to the Associate Registrar, Admission Services the Clerk PL4 (Admissions Assistant - Domestic) is responsible for the management and organization of incoming application documents and data within the Domestic Undergraduate Admissions Office. This position plays an integral role in ensuring the efficient management and processing of undergraduate admission decisions.
Position summary:
- Import application data into UNB student information system with high degree of data integrity.
- Ensure accurate assignment of application documents through CRM Recruit and correct errors.
- Troubleshoot issues with the import of applications and assignment of documents.
- Run regular reports to clean up data issues in both the CRM and Student Information System.
- Monitor error dashboard in CRM Recruit to identify potential issues with applications.
- Close programs in Colleague when students decline their offer of admission.
- Use judgment to apply admission policy/procedures to application documentation.
- Retrieve uploaded documents within the system and store them in UNB's document imaging system.
- Record transcripts to applicant files and store documents in imaging system for detailed record-keeping.
- Make independent decisions on official documentation.
- Contact students when documents do not meet requirements.
- Ensure the confidentiality of all documents and observe privacy policies around student files and data.
- Work with faculties to obtain additional documentation from students as needed.
- Process all official communication to applicants. Process and issue decision emails and letters.
- Generate and edit letters for all admission decisions. Upload decision letters to applicant portal.
- Collaborate with Admissions Officer and Associate Registrar on updates to communication templates.
- Cross-train and process transfer credit decisions during high volume times and leaves, as required.
- Decide on internal transfer credits for some programs.
- Determine external transfer credits for the Bachelor of Arts program (domestic applicants).
- Provide back-up for Admissions Officers during leave and breaks and high-volume times.
- Participate in policy development/change discussions with the Domestic Admissions Office team.
- Assist with other duties, as assigned.
Requirements/Skills:
- Post-secondary diploma in a related field. A degree would be considered an asset.
- A minimum of 3 years related administrative or technical experience, preferably in a university environment.
- Demonstrated MS O365 skills (particularly Word, Excel, SharePoint, Teams, and Outlook).
- Experience with an enterprise information and a CRM (i.e., CRM Recruit) technology preferred.
- Experience with Adobe Acrobat, Entrinsik Informer, and Footprints ticketing system experience considered an asset.
- Demonstrated organizational, communication (verbal & written), and task-management skills.
- Willing and able to contribute to a positive and respectful workplace environment.
- Ability to work independently, as well as part of a team.
