The University of New Brunswick Fredericton welcomes applications for the position of Pay Administration Officer with People & Culture. This is a 18-month term, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $40,167 - $50,210 per annum.
The Pay Administration Officer reports directly to the Pay Administration Supervisor. This position is responsible for the processing of all types of pay documents in accordance with the appropriate collective agreement and/or personnel policy. This position also coordinates with other areas of People & Culture and/or departments within the University to provide expertise, advice and assistance on Human Resources, payroll and Colleague processes.
Position summary:
- Responsible for the process and set up of staff change forms in Colleague. This includes new hires, extensions, salary changes, one-time payments, terminations, etc.
- Responsible for all Faculty payroll and reporting. This will include regularly updating Excel spreadsheets and the set-up of Deans, Chairs, Sabbatical leaves, Faculty contracts and promotions.
- Verify and collect supporting documents such as TD1 forms, direct deposit information, study/work permits and social insurance numbers if required.
- Responsible to calculate vacation, severance payouts and coordinate the retrieval of overpayments when required.
- Responsible for set up of payments and tuition frees using Access Database for graduate student payment forms (GRA and GAA forms).
- Process graduate T4A income (GRSA & GSTA forms). This includes verifying the collective agreement to ensure the correct rates are applied.
- Be a resource to support the Departmental Administrative Assistants and others who are authorized to establish CAE contract in the Colleague system. Monitor & correct contract rates as required.
- Review and analyze pay administration reports.
- Responsible to complete confirmation of employment letters, employment verifications, and maternity/parental leave letters as requested.
- Keep informed of system changes and perform required testing.
- File management, including filing all paperwork related to existing, new, and terminated files and take part in annual file archiving.
- Maintain and coordinate team mailbox.
- Collaborate regularly with other member of People & Culture and the University community.
- Attend training session as required.
Requirements/Skills:
- Two (2) year post-secondary education in the field of Business or Accounting and Payroll Services.
- Minimum of 1-3 years of experience in a Human Resources Pay administration role.
- Client service orientation, tactful and diplomatic with a focus on teamwork.
- Time management skills are essential with experience in a fast paced, time sensitive, deadline driven environment.
- Analytical thinking and judgement, attention to detail, and results oriented.
- Knowledge of Federal & Provincial Employment Standards is a must.
- Knowledge of Colleague, Entrinsik Informer would be considered an asset.
- Experience with Microsoft Suite is required (Access, Word, Excel, etc).
