The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL3 with Student Services. This is a term (December 2, 2022 end date), full-time (36.25 hours per week) position. The position is funded by the University Budget with a salary range of $18.28 - $21.86 per hour.
The Secretary PL3 will act as the first point of contact for students and other members of the public and the university community for Student Services. This position is primarily responsible for providing accurate information on the services of Student Services and for making referrals to other UNB services where appropriate. It is also responsible for providing some administrative support to Student Services.
Position summary:
- Greet, respond to and provide service to students, faculty, staff, the general public, and other UNB community requests and inquiries by telephone, email, Teams and at the reception desk.
- Act as the initial contact for Student Services for faculty, staff, students, prospective students, and the general public.
- Provide accurate high-level information on university policies and procedures that relate to students.
- Receive and respond to departmental voice mail messages and email; communicate pertinent information via email or voice mail to staff, students and the general public.
- Interact with students, faculty, staff, and the public with respect to queries/problems.
- Provide data entry, word processing and photocopying services as necessary.
- Routinely monitor Student Services intranet site, advising appropriate staff of necessary changes.
- Coordinates the booking of the Student Services meeting room.
- Submit monthly photocopier usage reports.
- Maintain a professional, clean and tidy general office and reception area environment and ensure smooth running of office equipment and computers.
- Order and maintain inventory of office supplies and office equipment.
- Operate all standard office equipment.
- Confidential Clerk Duties for Student Advocate and other Student Services offices.
- Assist the Student Advocate by triaging student, faculty, and staff inquires, ensuring background information is complete and following-up with Student Advocate.
- Set-up and maintain highly confidential student files.
Requirements/Skills:
- Diploma in Secretarial, office management, or equivalent; preferable with experience working in a university environment with 1 - 3 years of related experience.
- Ability to interact and communicate well in a discrete, friendly, non-judgmental manner with students of diverse backgrounds.
- Patience is needed to handle the high volume of telephone and house traffic.
- Ability to work well in a team environment while showing initiative and being proactive.
- Ability to work in a timely manner in a fast-paced setting.
- Proficiency in Microsoft Office (Word, Excel, Access, Outlook).
