The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL5 (Admissions Officer) with the Registrar's Office. This is a continuing, full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $22.02 - $26.05 per hour.
Reporting directly to the Associate Registrar, Admission Services, the Admissions Officer provides expertise in the selection of Canadian and Permanent Resident applicants for admission to undergraduate programs at UNB (Fredericton). The Admissions Officer analyzes qualifications utilizing University admission standards; processes admission evaluations and manages all admission related communication; acts as a resource to guidance counselors, members of the University community and others seeking admissions support.
Position summary:
- In-depth knowledge of calendar admission criteria for all faculties and their respective programs and adheres to all appropriate Admissions policies.
- Own a portion of all admission files and complete the application review process from start to finish.
- Communicate with faculties & departments to enhance the admission's process & establish positive working relationships.
- Responsible for ongoing communication with individual prospective students regarding admission matters.
- Respond to admission inquiries while ensuring the integrity of information provided is offered in a constructive manner.
- Responsible for all aspects of application data management, including daily import of online applications.
- Record and manage all supporting application documents in a paperless environment.
- Authenticate official documents according to established Admission procedures.
- Read, interpret, and evaluate students' academic credentials and have the authority to make admissions/denial decisions in accordance with approved admissions policies.
- Liaise with Faculty staff to ensure efficient application management and act as a resource on admission matters.
- Manage all aspects of electronic and written correspondence to applicants throughout the admissions process.
- Act as the front-line Admissions representative at targeted recruitment events offering Admissions-on-the-Spot.
- Ensure data integrity of application files.
- Work regularly within a CRM system (Ellucian CRM Recruit) to manage, update & review application & supplementary documents.
- Work within a variety of systems including a student information database (Colleague UI), ticketing system (Footprints), CRM (Ellucian CRM Recruit), and Microsoft Teams.
- Assist on special projects when required and assists in other areas of the Registrar's Office as assigned.
Requirements/Skills:
- Undergraduate degree. An equivalent combination of education and experience may be considered.
- Five years related experience.
- Demonstrated ability to operate a variety of software, comprehensive knowledge of MS 0365, experience with Colleague UI or other database management systems, CRM Recruit (or other CRM systems), and experience with document management software is preferred.
- Detailed knowledge of admission terminology and experience working with high school and university students in a service-oriented environment considered an asset.
- Demonstrated ability to learn and apply institutional policies and procedures.
- Superior professional written and verbal communication, critical thinking, and problem-solving skills.
- Ability to demonstrate self-direction, aptitude to work in a service-oriented environment as both a member of a team and independently.
- High level of accuracy and attention to detail.
- Ability to work on weekends/evenings during peak admission periods.
- Willing and able to contribute to a positive & respectful workplace environment.
