The University of New Brunswick Fredericton welcomes applications for the position of Clerk PL6 with Financial Services. This is a full-time continuing, (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $23.75 - $28.22 per hour.
Reporting directly to the Manager, Accounts Payable and Disbursement Services, the incumbent works with minimal supervision, within established guidelines, to supervise the daily activities of the unit. Utilizing knowledge of university policies and procedures, expenditure guidelines, Canada Revenue Agency (CRA) guidelines as they apply to taxable benefits, GST, and HST regulations.
Position summary:
- Ensure the accuracy and efficiency of the Accounts Payable functions while supervising four regular full-time staff, and part-time student assistant(s).
- Take lead on any automation and efficiency projects within the AP department.
- Supervise and assist AP staff with supplier invoice payment to ensure timely processing, where required.
- Customer service to faculty, staff, US, Canadian and International companies.
- Set up and maintain employee & vendor banking information for direct deposit using Colleague.
- Audit, tax and pay regular UNB supplier invoices as well as independent contractor payments, PI Fees and other T4A payments.
- Shared responsibility for direct deposit, visa payments, wires & cheque runs.
- Backup to staff who process the Follett Import expenses and reconcile to physical invoice.
- Responsible for ensuring all invoices are booked in the appropriate fiscal year, based on established rules and audit requirements.
- Assume day-to-day responsibilities for the Manager, Accounts Payable and Disbursement Services in their absence.
Requirements/Skills:
- Bachelors degree in Business Administration/Management, or certificate in business and accounting from a recognized Community College.
- 3-5 years of relevant progressive and supervisory experience, with an on-line, high volume computerized accounting system.
- Must have a sound understanding of Accounts Payable and knowledge of accounting principles, practices, tax and reporting requirements.
- Knowledge of University policies and procedures, expenditure guidelines considered an asset.
- Knowledge of Canada Revenue Agency (CRA) guidelines as they apply to taxable benefits, GST and HST knowledge in a university environment considered an asset to perform the functions of this position.
- Must organize and prioritize own work.
- Ability to handle multiple priorities in a sometimes-stressful environment.
- Working knowledge of Microsoft Office applications with an above average Excel knowledge (Intermediate or above).
- Demonstrated ability to take the lead on improvement projects to current systems and processes.
- Demonstrated ability to identify issues and implement solutions.
- Strong communication and organization skills.
- Accuracy is essential; attention to detail is critical.
- Customer service oriented.
