The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL4 (Operations Coordinator) with the Student Accessibility Centre. This is a continuing, full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $20.45 - $23.75 per hour.
Reporting to the Director of the Student Accessibility Centre, the Secretary PL4 (Operations Coordinator) is responsible for supporting the overall activities of the Student Accessibility Centre (SAC) with particular attention to the coordination of accommodated tests and exams, database management, assessment of SAC activities, financial management of accounts, coordination of Centre communications, and other general operations duties.
The position requires flexibility in work hours and may include some evening or weekend work during mid-term and final examination periods.
Position summary:
- Coordinate with faculty and students on test arrangements.
- Schedule and book test/exam space and invigilators.
- Coordinate and secure receipt and return of tests/exams from instructors.
- Recruit, hire, supervise and maintain pay forms for invigilators.
- maintain academic integrity of accommodated tests and exams. Manage incidents when cheating is suspected.
- Set up and manage database systems. Develop and update database protocols. Enter data and monitor database contents. Design and prepare reports using database contents.
- Support all SAC assessment projects.
- Maintain Centre financial account, track expenses, coordinate purchases, support annual budget process.
- Respond to inquiries about Centre services and campus and community resources.
- First point of contact for Centre guests.
- Maintain Centre web and social media presence. Create, maintain, and disseminate SAC calendar of events.
- Identify and develop operational improvements to SAC practices and procedures.
- General clerical duties as required. Other duties as assigned.
Requirements/Skills:
- Post-secondary education within a field of study relevant to the position.
- Minimum of two-years' experience working in a computerized, fast-paced, office environment. A post-secondary setting is preferred.
- High-quality written and oral interpersonal communications skill, as well as attention to detail.
- Proficiency with Databases and Office 365 software.
- Basic accounting and budgeting skills.
- Knowledge and understanding of the issues affecting persons with disabilities and experience working with persons with disabilities an asset.
- High-level of accountability. Excellent judgment, decision making, and organizational skills.
- Demonstrated ability to work collaboratively in a team environment.
- Appreciation for and values different opinions, roles, experiences, cultures, and backgrounds.
- Detail-oriented, organized, and self-motivated. The ability to maintain confidentiality and discretion.
- Able to deliver high quality results under pressure, firm deadlines, and often evolving priorities.
