The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL3 with the Faculty of Education. This is a 1-year term, full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $18.59-$22.02 per hour.
This position would report to the Associate Dean (Graduate Programs), receive guidance on day-to-day tasks from and work directly with other administrative staff members in the graduate office.
Position summary:
- Provide initial contact (email and telephone) for Graduate Programs office for faculty, staff, students, prospective students, and the general public.
- Communicate with instructors regarding student participation.
- Communicate with students regarding add/drop dates, fees, change in status forms.
- Manage notices to graduate listservs.
- Maintain updated statistics, spreadsheets, and files.
- Run Informer 5 reports.
- Monitor student status.
- Collect and manage student progress reports.
- Process student forms (add/drop, change in status, and leave of absence) to send to SGS.
- Conduct degree audits, complete student completion forms, prepare graduation list, and confirm graduation list with SGS.
- Issue completion letters (for programs and courses) to learners.
- Update final timetable rotation.
- Post contract academic instructor positions and process applications.
Requirements/Skills:
- Post-secondary diploma or certificate with a minimum 2 years of relevant experience.
- Experience in an academic setting, preferably with some of this in graduate programs is preferred.
- Ability to multitask, work at a rapid pace with accuracy, make decisions and meet deadlines.
- Ability to work both cooperatively as a team member and independently with minimal supervision.
- Friendly and flexible, with experience working with clients/customers, particularly in a cross-cultural environment.
- Proficiency with the Microsoft suite of applications; knowledge of UNB's Colleague system would be an asset.
