The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL4 with Development & Donor Relations. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $20.45-$23.75 per hour.
Reporting to the Philanthropy Programs Manager, the Annual Giving Assistant is a member of the team responsible for the design and implementation of UNB's annual fundraising programs. The incumbent provides administrative assistance and advanced secretarial support to the Philanthropy Programs Office. The Annual Giving Assistant is also responsible for the development and management of specific Annual Giving fundraising projects.
Position summary:
- Review data files and make necessary changes to ensure accuracy of data before printing correspondence.
- Merge, print and oversee the mailings for all Annual Giving fundraising letters (i.e., solicitation and follow-up letters) and other office correspondence, reports, invitations, etc.
- Ensure that all mailings are completed in a timely manner.
- Schedule, train, and supervise part-time clerical assistants. Perform quality control checks on their work to ensure accuracy.
- Prepare written materials including, but not limited to, solicitation and thank-you letters and emails.

- Provide administrative and other support to fundraising projects and initiatives.
- Interpret data and create statistical reports as required.
- General review and follow-up on Annual Giving e-communication/solicitation initiatives.
- Provide administrative support to the Annual Giving Fundraising Coordinator for the recruitment and orientation of student callers.
- Prepare bi-weekly payroll and complete staff change forms for all student fundraisers and clerical assistants.
- Perform regular inventory checks on all supplies and order additional stock as required.
- Provide advanced secretarial support and receptionist duties and answer phone lines for Philanthropy Programs Office.
- Liaise with other University departments, external businesses and organizations as required.
Requirements/Skills:
- Diploma/certificate from a one-year business program and a minimum of five years' related work experience, including experience in a fund-raising capacity, or an equivalent combination of training and experience.
- Excellent computer skills in Microsoft Word, Access and Excel, e-communications, Windows, and a good understanding of database applications.
- Must have outstanding interpersonal, organizational and communication skills as well as exceptional attention to detail and demonstrated writing skills.
- Ability to multi-task, meet tight deadlines, and to work effectively in a high-pressure environment.
- Knowledge of the University community and database creation and management is a definite asset.
