The University of New Brunswick Fredericton welcomes applications for the position of Assistant to the Dean with the Faculty of Kinesiology. The Faculty of Kinesiology is comprised of the academic unit, REDS athletics, University Recreation Services and Kinesiology Facilities, which all report to the Dean. This is a continuing, full-time (36.25 hours per week) position with the APT employee group. The position is funded by the University Budget with a salary range of $43,790 - $54,737 per annum.
This position is accountable to the Dean and responsible for the coordination & management of all facets of the administrative, academic & budgetary operations within the Faculty. With associated diverse, complex & highly confidential responsibilities, the incumbent must utilize & implement a high degree of initiative, diplomacy and discretion to ensure that the demands of the Dean's Office are met.
Position summary:
- Maintain the Dean's schedule/calendar. Set up meetings, make travel arrangements, compose correspondence, type high-level reports, file reports, order equipment/furniture for the Dean's Office.
- Responsible for analyzing and improving Faculty business and operational policies working with the Kinesiology Management Committee.
- Respond to general inquiries via email, social media, and telephone, and refer specific requests to the Dean, when required. Responsible for triaging and responding to internal and external requests. Liaise with marketing team on Faculty social media information.
- Oversee the scheduling, organizing, and recording of committees for the Dean's office. This includes preparing meeting agenda and all documents, ensure decisions are coordinated amongst committees, track and follow-up with decision and action items, and develop work plans/budgets/policies.
- Ensure that hiring of new faculty is in accordance with all regulations, including advertising of positions. Coordinate recruitment activities for full-time faculty and contract academic instructor positions (i.e., advertising, accepting applications, scheduling interviews, etc.). Collect applications, prepare interview packages for search committee, etc.
- Responsible for the implementation of Faculty research rankings. Advise on funding relevant to Grad student payments.
- Responsible for the coordination and development of staff training and activities for all units in the Faculty.
- Prepare forms and contracts in consultation with People & Culture regarding new hires, renewal of contracts, salary changes and other People & Culture issues as required.
- Maintain and monitor operational budgets. Collaborate with the Manager of Finance and the Dean in preparation and submission of annual budget.
- Responsible for the coordination of conferences, workshops, receptions, lectures, socials & meetings for all units in the Faculty.
- Responsible for the management of the faculty's administrative offices.
- Responsible for the Faculty's IT services. This includes develop and implement a computer replacement plan, tracking system, and inventory.
Requirements/Skills:
- Post-secondary education in Business Administration/Office Management supplemented by a minimum of five years' suitable administrative experience at a significant level of responsibility. A university degree would be an asset. Experience is an academic setting would be an asset.
- Superior analytical and critical thinking, collaboration, strong communication skills and the ability to solve problems. Strength in managing multiple priorities, with attention to detail.
- Experience working with complex budgets and tracking expenditures.
- Organizational, administrative, and interpersonal skills are a must.
- Demonstrated supervisory experience in an office environment.
- Demonstrated computer software proficiency is a must. Must be familiar with Microsoft office O365.
