The University of New Brunswick Fredericton welcomes applications for the position of Clerk PL6 (Records Officer) with the Registrar's Office. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $23.75 - $28.22 per hour.
This position reports directly to the Associate Registrar (Records & Registration) and provides supervisory tasks to our team of Client Service Representatives at the Registrar's Office. The position acts as a liaison to faculty and service departments and is required to have a full knowledge of all functions performed in the Records & Registration Unit.
Position summary:
- Supervise and provide training for data input to the computerized student system by Client Service Representatives.
- Ensure that excellent customer service and correct information is provided to students, faculty and the general public, by telephone and by email, while upholding the basic tenet of confidentiality of the student record.
- Provide administrative support for the processing of incomplete or extension notations, including the management of the expiry dates and subsequent follow-up to students and departments.
- Process complete withdrawals. Drop courses and programs for those who formally withdraw from study at UNB.
- Correspond with Faculty/Departmental staff regarding student records, especially with staff in the Student Financial Service and the College of Extended Learning.
- Process special batch registrations, math challenge exam registrations, Challenge for Credit Assessments, and management of Dean's list students.
- Assist in the Tax Review for UNB's T2202A to make all necessary changes to the eligible number of full time and/or part-time months for the current taxation year.
- Assist, as needed, training student assistants and new staff on data entry processes in the Colleague system and within the unit's business practices.
- Input all Major, Honours and Engineering options in Colleague.
- Ensure integrity of student data, troubleshoot imports of data, and correspond with respect to special UNB programs delivered at off campus sites.
- Responsible for Co-Op & Pep Program. Serve as contact for student registration/work placement, advise co-op coordinators, and contact external work placement partners when required.
- Assist in processing student record information during degree audit processes.
- Assist the appeals unit as directed by the AR during peak times or as a backup, processing the intake of appeal requests, working on preparing the files, data entry, student, faculty communications etc.
- Manage the set up for the Registrar's Office Auto-Attendant and employees phone services.
- Perform other related duties, as required.
Requirements/Skills:
- University Degree with a minimum of 5 years' relevant work experience.
- Demonstrated experience in a supervisory role and processes in a service-oriented environment
- Demonstrated attention to detail, exceptional organizational skills, excellent verbal and written communication skills and the ability to work independently and as a part of a team.
- Exceptional people and telephone skills demonstrating discretion, tact, and judgment.
- Proven ability to meet deadlines and provide quick reaction to requests.
- Experience working in Microsoft Windows environment with demonstrated MS Office skills.
- Data entry/keyboarding, basic Internet literacy with use of a variety of Web Browsers. Experience with an enterprise computing system such as Colleague preferred. Adobe Acrobat, Entrinsik Informer, and Footprints skills also preferable.
