The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL5 with the Faculty of Management. This is a continuing, full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $22.02 - $26.05 per hour.
Reporting to the Executive Assistant to the Dean of the Faculty of Management (FOM), the Secretary PL5 is responsible for the supervision of the administrative services provided to faculty through the FOM's central office, developing and implementing procedures, and providing support for the operations of the Dean's Office.
Position summary:
- Implement new procedures when necessary, develop Standard Operating Procedures, establish work priorities, and ensure deadlines are met. Participate in Unit planning and contribute to process development and system changes.
- Responsible for the supervision of four full-time staff members and IT Level 1.
- Oversee the day-to-day function of the main faculty office, which includes: coordination of students, surveys, financial transactions, document preparation, other financial reporting, office maintenance, etc.
- Liaise with various University units.
- Work with the Director, Advancement and Operations to coordinate faculty events. Responsible for event registration, marketing, and correspondence with key stakeholders.
- Update and maintain webpages and social media, as directed. Assist with the development of the FOM's Secure SharePoint site.
- Ensure compliance with all UNB systems, policies and procedures related to finances, as well as those of outside funding organizations.
- Assist with travel arrangements & expense claims for visiting speakers and faculty candidates.
- Aid in the preparation and submission of Contract Academic Instructor opportunities in the department and scheduling the Contract Academic Employee Assessment Committee meetings.
- Assist the Dean's Office with recruitment activities for full-time faculty and contract academic instructor positions.
- Process promotions, sabbatical leaves of current faculty members, and ensure compliance with the AUNBT Collective Agreement.
- Schedule, organize, and record committees, as required.
- Provide backup support to the Dean's Executive Assistant.
- Other duties as assigned.
Requirements/Skills:
- Post-secondary education in Business Administration/Office Management. A university degree would be an asset.
- A minimum of five years suitable administrative experience at a significant level of responsibility and a minimum of two years supervisory experience in an office environment.
- Demonstrated excellent communication skills (oral and written) are required along with interpersonal skills; must be able to deal with people effectively and efficiently in a positive manner.
- Able to establish and maintain working relationships.
- Detail-oriented and ability to work on multiple projects/tasks simultaneously with a high level of accuracy.
- Excellent time-management skills. Self-motivated, mature, responsible and dependable.
- Creative and able to exercise judgment, show initiative, and demonstrate abilities to identify and to solve problems.
- Ability to initiate & organize work independently, identify & achieve priority objectives, & fulfill assigned tasks without supervision.
- Demonstrated strong Microsoft Office skills are required
- Familiar with Colleague and also UNB's policies and Procedures considered an asset
