The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL 5 with the Faculty of Arts: The Gregg Centre. This is a term full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $22.02 - $26.05 per hour.
This position is accountable to the Executive Director, for the management of all aspects of the administrative and financial operations of the Gregg Centre. The incumbent is expected to provide a high level of administrative support to the Centre.
Position summary:
- Coordinate and monitor office operations to ensure the Centre runs efficiently.
- Greet, assist and support staff, faculty, and visitors.
- Account management including operational accounts, budgeting, grant application budgets, oversite of staff and work-study student time-entry and payment processes.
- Manage budgets, support financial reporting and provide support with respect to budgets on grant applications.
- Manage multiple accounts and bookkeeping, including payables and receivables.
- Handle extensive travel arrangements and expenses.
- Administrative support to the Centre's team and its members. Book meetings, draft correspondence, manage calendars, manage weekly task list with the team, facilitate weekly team meetings, etc.
- Coordinate with other university department as well as with local, national, and international partners.
- Manage student applications and interviews including grant applications for student research positions.
- Mentor students including approval of timesheets, meetings, and supporting the delegation of tasks.
- Support the Centre's donor relations though communication and correspondence with new and existing donors.
- Coordinate with the Centre's federal, provincial, and community partners.
- Organize and maintain Centre spaces that can be booked for use by students, staff, faculty, and visitors.
- Event planning such as large conferences, public lectures, and community outreach including virtual events.
- Monitor, maintain, and support the elevation of the social media and website page to respond to changing times.
Requirements/Skills:
- Post-Secondary Diploma with a minimum of 5 years' relevant experience.
- Accounting certificate or a minimum of five (5) years accounting experience.
- Demonstrated attention to detail, exceptional organizational skills, and excellent verbal and written communication skills.
- Proven ability to meet deadlines, take initiative, and provide quick reaction to requests.
- Ability to work independently and as a part of a team. Exceptional people and telephone skills demonstrating discretion, tact, and judgment.
- Working knowledge of the Canadian Armed Forces and Canadian military and defense matters are an asset.
- Experience working in a Windows environment with demonstrated skills in Microsoft Office 365 suite.
- Data entry, basic Internet literacy with use of a variety of Web Browsers. Experience with an enterprise computing system such as Colleague preferred. Adobe Acrobat, Entrinsik
- Ability to prioritize and maintain a heavy workflow.
- Informer and Footprints skills also preferable.
