The University of New Brunswick Fredericton welcomes applications for the position of Clerk PL3 (International Admissions Assistant) with the Registrar's Office. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $18.27 - $21.64 per hour.
This position is responsible for the management and organization of incoming documents primarily within the International Admissions Office during the application season and is accountable to the Associate Registrar - Admissions. This position plays an integral role in ensuring the efficient management and processing of undergraduate Admission decisions.
Position summary:
- Ensure accurate and efficient management of all international application documents.
- Organization of application correspondence.
- Ability to manage confidential and time-sensitive documents.
- Perform data entry to track applications through the application process, request supporting materials, and confirm application statuses.
- Provide outstanding client-service to prospective and current applicants, both in person, through phone and email communication.
- Receive and respond to general admission and application inquiries via phone and email.
- Prepare and organize applicant admission files for assessment.
- Provide guidance to students, agents, and Recruiters around the admissions process (by country).
- Work directly with Faculty and Admissions Officers for timely review of applicant files.
- Work directly with the International Recruitment Office for the completion of applicant files.
- Work within a paperless system using document imaging software.
- Assist annually in document/data cleanup at the end of each admission cycle.
- Ensure confidentiality of documents at all times.
- Other duties as assigned.
Requirements/Skills:
- Post-Secondary education with a minimum 3 years relevant experience. Equivalent combination of education and experience may be considered.
- Minimum of 3-4 years related experience preferably in a university environment in a comparable position.
- Experience working with people from a variety of cultural backgrounds.
- Customer service experience. Client service experience with students an asset.
- Experience with Microsoft O365 (particularly Word, Excel, Teams, SharePoint & Outlook) & Adobe Acrobat Pro.
- Experience with student information system Colleague, CRM Recruit or other Ellucian technology solutions preferred.
- Demonstrated organizational skills, with the ability to stay on task in a fast-paced environment while maintaining accurate attention to detail. Proven ability to work independently.
- Ability to learn and retain new information regularly in order to keep up with country-specific education requirements and adapt to new technologies.
- Work collaboratively with others in a team environment
- Excellent verbal and written communication skills.
