The University of New Brunswick Fredericton welcomes applications for the position of Clerk PL4 (Transcript Clerk) with the Registrar's Office. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $20.10 - $23.34 per hour.
This position reports to the Associate Registrar (Records & Registration Services) as a part of a team of Client Service representatives directly responsible for the records and service aspect of the Registrar's Office. This is a main front counter position within the Registrar's Office. The position is responsible to perform duties directly relating to the provision of Transcript Services and provide student services in our Student Center with dedicated responsibilities for main reception, registration, student letters, and updating student records according to UNB's calendar regulations.
Position summary:
- Process Official Transcript orders received in UNB's footprints e-mail system via the web, fax or in person.
- Respond to Transcript inquiries in person, e-mail and mail.
- Process Transcript and Application fees balance daily financial transactions according to our closing procedures. Complete deposit forms, compile payment information and make bank deposits.
- Process Government Documentation for students (CPP Declaration, Disability Benefits, E.I., exchange programs etc.
- Provide Service to Students and other members of the public and university community by telephone, email and walk-in requests at the reception counter; provide accurate information and assist students in the use of the Web Advisor online registration system .
- Provide main reception and e-mail inquiry duties of the Registrar Office.
- Provide accurate data input to the computerized student system with respect to registration and updates on student records.
- Liaise with academic faculty personnel to verify student data, as required.
- Provide the word processing services necessary to produce enrolment, educational trust fund letters, and graduation confirmation letters. This position also processes special request letters and confirms employment checks for organizations.
- Trouble Shoot any student account issues.
- Process both incoming and outgoing mail, as required. Process UPS requests.
- This position assists on special projects as requested by the Associate Registrar.
- Perform other related duties as required.
Requirements/Skills:
- University degree with a minimum of 3 years' relevant experience. An equivalent combination of education and experience may be considered.
- Demonstrated ability to operate a variety of software, comprehensive knowledge of Microsoft O365 (particularly Word, Excel and Outlook), experience with Colleague UI or other database management systems.
- Ability to work as a team player with excellent interpersonal and communication skills.
- Attention to detail and the ability to maintain a high level of organizational skills.
- Ability to meet tight deadlines and provide quick reaction to requests.
- Experience with Footprints, Adobe, and informer preferred.
