The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL5 (Lab Administrator) with the Department of Physics, MRI Research Centre. This is a term until December 31, 2022, part-time (20 hours per week) position with the SALAC employee group. The position is funded by the external monies with a salary range of $21.64 - $25.60 per hour.
The UNB Magnetic Resonance Imaging (MRI) Research Centre was established in 1994 and since then has established a world leading reputation in the area of MRI of Materials. The MRI Centre is interdisciplinary in its work and interacts with a large range of UNB faculty, researchers at other Canadian Universities, a variety of government agencies and national and international companies and is strongly associated with the Tier 1 Canada Research Chair in MRI of Materials.
Position summary:
- Prepare monthly and year-end statements and short term financial projections.
- Process paperwork that is required for invoicing clients and government agencies.
- Prepare forms and contracts in consultation with HR with regards to finances as well as those of outside funding organizations.
- Assist with submitting travel claims, personal reimbursement, PDA requests, advances and cheque requisitions for the centre. Oversee purchases of equipment and supplies in accordance with UNB procurement policy.
- Perform day-to-day financial transactions.
- Release announcements via email to faculty, staff and students when required.
- Responsible for tracking and monitoring expenditures on laboratory accounts by reconciling and preparing financial forms.
- Maintain accurate financial and administrative files.
- Organize and/or assist with various laboratory functions.
- Responsible for the initial contact for the majority of users of the laboratory. This includes reception of faculty, staff, senior administration, and members of the general public.
- Maintain Chair's daily schedule, set up meetings.
- Maintain general filing systems including confidential staff and student files.
Requirements/Skills:
- University degree in Business or College Diploma in Administration/Accounting.
- 5+ years of experience working in an academic or private sector setting
- Demonstrated ability and adaptability in a fast-paced environment with critical deadlines for many funding agencies.
- Exemplary skills in both administration and project financing.
- Self-motivated, high-performing and hands-on leader.
- Must be detail-oriented, organized, methodical and able to work independently or as part of a team.
- Demonstrated understanding of and experience related to research, industrial or academic, and knowledge of commercialization.
- Ability to interact and communicate with sensitivity to cultural differences and issues.
