The University of New Brunswick Fredericton welcomes applications for the position of Accommodations Coordinator with the Conference Services. This is a continuing full-time (36.25 hours per week) position with the PTSU employee group. The position is funded by the University Budget with a salary range of $36,282 - $45,350 per annum.
Reporting to the Manager, Finance & Operations, the incumbent is responsible for coordinating efficient operations, professional services, accurate and timely administrative functions, and successful business development/growth of the Accommodations business unit.
Position summary:
- Promote and provide high quality services to current and prospective clients at all times.
- Work with clients to confirm room block, schedule venues, media services, food services, set-up, parking, and all logistics related to their event.
- Ensure regular, open communication with service providers, partners, and Conference Services team in order to deliver seamless, one-stop-shop service to clients.
- Act as Conference Service?s expert on front-desk operations related to reservations, check-in/out, and general inquiries, which requires knowledge of Kx software, cash handling procedures, client service standards, and campus spaces.
- Coordinate transition period at beginning and end of summer including moving students, coordinating the cleaning schedule, check in/out process, and enforcing policies.
- Coordinate and take part in On-call responsibility after hours and on weekend during summer months in order to respond to the 24-hour nature of the accommodations business.
- Develop summer programs through the accommodations business unit.
- Manage the program delivery team and coordinate weekly schedules.
- Develop and implement a sales and marketing plan for the new programs.
- Cultivate and foster positive relationships with current and potential clients and on-campus service providers.
- Manage the summer residence program.
- Create reporting systems for all business units, including the creation of business unit specific KPI tracking reports, service quality index, occupancy reports, revenue reports and annual summery reports.
- Manage and oversee the collection of data to ensure appropriate information is being collected for all reporting.
- Create and administer client satisfaction surveys for all business units.
Requirements/Skills:
- Undergraduate degree in Arts, Business Administration or Hospitality & Tourism. 1-3 years? experience in customer service and 1-3 years? in a hospitality industry. An equivalent combination of experience & training may be considered.
- Experience working at UNB and a knowledge of our residence community is an asset.
- Exceptional written and oral communication skills and a demonstrated ability to listen actively and respond in a manner that is positive and clear.
- Relationship-building and client-service orientation including the ability to cultivate positive working relationships with superiors, peers, subordinates, clients, and partners.
- Time and stress management skills, including ability to manage multiple demands, meet deadlines, remain calm during crises, respond constructively and support others in challenging situations.
