Hiring a Graduate Student as a CAE

Prior to making an offer to a graduate student to teach a course the graduate student / department must first have approval from the School of Graduate Studies. This approval is obtained by completing the School of Graduate Studies Part Time Employment Form.

To expediate the process of hiring a graduate student the recommended process is as follows:

  • Under the “Additional Notes” section of your job posting add the following comment:
    • Applicants who are graduate students please submit the Part Time Employment Form with sections 1 and 2 completed with your application package.
  • If your chosen applicant is a graduate student; prior to making an offer of employment, submit the Part Time Employment Form to your School of Graduate Studies for approval.
  • Once you’ve received the approval from your School of Graduate Studies you can offer the CAE position.
  • After approval from the School of Graduate Studies, the completed Part Time Employment Form should be sent to the Office of the Vice-President so that it may be added to the CAE's official file.

Hiring a Graduate Student for a Teaching Apprenticeship

When hiring a graduate student for a teaching apprenticeship the use of the School of Graduate Studies Part Time Employment Form still applies. In addition to the steps above you will also need to enter yes under the Grad Apprenticeship option when completing the contract in Colleauge.
