This position provides administrative support and coordinates the activities of the Executive Director, Associated Alumni Office and Associated Alumni Council and its Committees.
Representative Responsibilities
• Maintain financial accounting and prepare financial reports for Office and Associated Alumni accounts.
• Coordinate the activities of the Associated Alumni Office and Council including correspondence, reports, and communications of a highly confidential nature.
• Coordinate the meetings, agendas and materials required for the Executive Director.
• Coordinate collection of Hither & Yon raw materials for Alumni News.
• Assist Office Team members with Colleague Advancement (Benefactor) database reports and coding, and mailings and other correspondence projects.
• Establish and maintain departmental office files, maintaining confidentiality.
• Review incoming correspondence; compose and prepare outgoing correspondence as requested.
• Oversee the distribution of all mail and correspondence, deal with callers and visitors, review and respond to departmental voice mail messages.
• Arrange a variety of meetings and events logistics; attend special functions, as requested.
• Prepare presentations for the Executive Director and the Office Team.
• Assist Executive Director and Office Team with daily schedules, appointments (electronic calendars); prioritize requests for meetings; refer requests to appropriate team members.
• Maintain an inventory and oversee the purchase of general office supplies, process the payment of invoices.
• Set up conference calls (local, provincial, national, and international).
• Responsible for the UNB Associated Alumni Framing Program.
• Responsible for assisting with Alumni events as required
• Responsible for the preparation of Sphere II & Sphere IV Financial Reports.
• Other duties as assigned.
·    High School graduation plus a one year business diploma.
·    5 years related experience. 
·    Strong computer skills including: Microsoft word and excel. Experience with Power Point would be considered an asset. 
·    Knowledge of Datatel would be an asset.
·    Experience and knowledge of fundamental accounting principles.
·    Experience with Sage and QuickBooks would be considered an asset
·    Flexibility to work some weekends and evenings as required
