The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL3 with the Faculty of Management. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $18.27 - $21.64 per hour.
This position is responsible for the provision of reception duties, switchboard operation, responding to general enquiries, operation and management of central photocopying facilities, maintaining course files for the undergraduate and graduate programs and other duties as required.
Position summary:
- Assist students, faculty, and members of the general public coming into the Faculty's reception area and announce visitors arriving for meetings. Operate voice mail and switchboard system.
- Provide photocopying services for faculty and staff.
- Process courier shipments for faculty and administrative offices determining the appropriate carrier based on routing and delivery requirements. Determine appropriate financial accounts for shipping costs and submit shipping requests via web-based systems.
- Manage bookings of Faculty held equipment and facilities using a GroupWise scheduling system.
- Facilitate a weekly writing of deferred exams, midterms, etc.
- Prepare internal reference documents.
- Assist in the facilitation of the Iliad and B-Kat testing.
- Assist with overflow work from other staff including keyboard course work, correspondence and other materials.
- Maintain directory boards within the Faculty ensuring that the information is current.
- Initiate monthly billing to reallocate photocopying costs, process departmental transfers to allocate charges to the appropriate financial accounts, and make required entries in the Faculty's internal ledger system.
- Maintain course files for undergraduate and graduate programs relating to course outlines and final examinations, etc. -- all demanding particular attention to confidentiality.
- Liaise with the Registrar's Office with respect to room bookings, distribution and submission of final examination forms, course grade reports, etc.
- Maintain phonebook entries to ensure that current information is available via the on-line search function and for the production of the University phonebook.
- Perform other tasks as required.
Requirements/Skills:
- High school graduation, supplemented by a one-year program. Two years of relevant experience.
- Excellent interpersonal and communication skills.
- Ability to interact with a diverse client group.
- Ability to handle multiple tasks, take initiative, and manage time effectively.
- Excellent keyboarding skills.
- Experience with Microsoft Office programs specifically Word, Excel and Outlook.
