The University of New Brunswick Fredericton welcomes applications for the position of Secretary PL4 with the Student Health Centre. This is an ongoing renewable full-time (32.75 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $20.10 - $23.34 per hour.
This position is an ongoing renewable term working 10 months per year, start and end dates determined annually. Typical working months will be end of August to mid-May each year.
The Student Health Centre (SHC) exists to provide primary medical services to full time students of UNB and STU. Optimal health being a critical factor to the academic success of students during their time of study at UNB. This position is the first point of contact of students, and as such is responsible to foster a professional, welcoming and supportive environment for students to access services. Responsible for the scheduling of clinic for a variety of health care providers on a multi-disciplinary team. The incumbent will set priorities in a fast-paced work environment, ranging from patient registration, processing of clinician orders, billing and invoicing, management of required statistics, support to clinic management, along with other administrative and office functions as required.
Position summary:
- Promote a welcoming, inclusive atmosphere and actively participate in maintaining a positive work environment.
- Ensure patient confidentiality and maintain respective legal requirements.
- Answer, respond to, direct and take messages for all incoming correspondence with courtesy and accuracy.
- Interact and communicate effectively and respectfully with students.
- Perform general clerical duties to support daily clinic inclusive of scheduling, referrals, booking additional tests and appointments, completion of billing. Medicare and insurance forms, photocopying and faxing, etc.
- Foster and maintain relations with Financial Services to ensure accurate and complete billing, invoicing, and reconciliation for all services provided within SHC.
- Schedule and coordinate all aspects of clinic requirements.
- Record accurate data and daily statistics on SHC operations and prepare monthly and adhoc reports relevant to SHC, UNB, budget and requirements from Medicare.
- Purchase and maintain the office supplies, displays and resources, and waiting areas.
- Maintain SHC financial records for all transactions and ensure adequate change in petty cash and the cash float.
- Complete website and digital screen updates and improvements in consultation with the Director and SHC staff.
- Actively participate in team meetings and initiatives.
- Perform other duties and responsibilities as assigned by the Clinical Chief, Nursing Team Lead, and Clinical Director.
Requirements/Skills:
- Diploma in Secretarial, office management, or equivalent; preferable with experience working in a university environment.
- Medical receptionist or similar experience would be a definite asset. Medical terminology would be an asset.
- A combination of equivalent education and experience will be considered.
- Strong interpersonal and communication skills. Previous experience working successfully with confidential material.
- Knowledge and experience working with university students would be an asset.
- Computer skills including word processing and experience with databases are essential. Knowledge and experience with an Electronic Medical Record system would be an asset.
- Demonstrated success at contributing to a positive work environment. Comfortable working in an environment of continuous change and improvement. Ability to prioritize and perform work with minimum supervision.
