The University of New Brunswick Fredericton welcomes applications for the position of ITS Procurement Coordinator with Information Technology Services. This is a continuing full-time (36.25 hours per week) position with the PTSU employee group. The position is funded by the University Budget with a salary range of $42,695 - $55,507 per annum.
The ITS Procurement Coordinator is responsible to make recommendations, access needs, process, receive and coordinate delivery of technology orders; assist with supplier, contract and license management, and prepare, process and complete routine financial and administrative tasks.
Position summary:
- Action daily requests quickly, efficiently, and accurately by processing requests that are authorized and meet standards, promptly addressing requests with outstanding issues, manage stock systems, provide information for ITS website updates and by managing exceptions.
- Ensure the complete and timely receipt, process and delivery of technology orders to clients by tracking orders arrivals, reconcile received equipment with orders, resolve delayed order and receipt issues, ensure orders are processed quickly and coordinate processed order delivery.
- Assist with the efficient and effective management of assigned supplier relationships by completing regular relationship management duties, collect performance data and produce performance reports and assist the Contract and Supplier Coordinator with routine tasks.
- Assist with timely and accurate contract and license management by processing routine renewals and upgrades; assist with software library maintenance and distribution, assist with software inventories and databases maintenance, work with vendors to resolve issues, and assist with supplier registry maintenance.
- Prepare, process and complete routine financial and administrative documents and tasks accurately, in a timely way and according to standard procedures by regularly monitoring requests, identify routine preparation requirements and activities, collect and consult to obtain needed information and documentation, code source documents to the appropriate accounts, accurately filling out required forms, obtain authorizations, file financial documentation for reference, and then send prepared documentation to destination for next steps.
- Contribute to successful personal and team performance by being helpful and courteous; displaying a positive attitude and taking initiative; provide and seek ideas; participate in departmental and university activities and positively representing ITS.
- Participate in project teams as an effective team member and complete independent projects successfully and on time.
Requirements/Skills:
- Two-year College diploma or degree in Business Administration, Office Administration, Supply Chain or related field required.
- 2-5 years of experience in information technology procurement, administrative services and/or finance.
- In-depth knowledge of current and emerging IT Products.
- Excellent customer service skills. Excellent time management and organizational skills.
- Attention to detail and accuracy in performing procurement responsibilities.
- Creative and Flexible: able to evaluate opportunities and respond to changing requirements.
- Ability to prioritize work, apply evolving departmental standards and meet deadlines.?
- Willingness and ability to adapt to changes in work environments.
- Exercises initiative to independently learn about new technologies.
- Must be willing to work occasional overtime, or have hours adjusted.
- Participation in after-hours emergency response if available.
