The University of New Brunswick Saint John welcomes applications for the position of Administrative Assistant PL4 with the Faculty of Arts: Humanities & Languages Department. This is a continuing full-time (36.25 hours per week) position with the CUPE employee group. The position is funded by the University Budget with a salary range of $18.42 - $22.64 per hour.
This position is responsible for providing the day-to-day administrative functions of the Department of Humanities & Languages, and reports directly to the chair of this department. The administrative assistant provides ongoing support to students, the chair, department members, and must prioritize and organize tasks appropriately within the departments. The position is moderately responsible for managing budgets, financial and confidential files.
Position summary:
- Lead point of contact for students, faculty, staff, the general public and suppliers via email, phone and/or in-person.
- Provide administrative support for employment and payment of student employees. Also provides administrative work to the Chair and department members, as well as various committees.
- Complete paperwork, request computer access, and assist with orientation for new faculty, term and/or seasonal instructors.
- Provides faculty with supplies and resources both for offices and for classroom teaching.
- Work collaboratively, with direction from the Administrative Coordinator for the Dean, Faculty of Arts, for the timely submission of timetables, student prizes, grants and scholarship nominations, and to meet contractual requirements for part time faculty job postings.
- Administration of the department operating budget and departmental accounts. Monthly review and analysis to correct any budget anomalies.
- Assist with preparing the annual timetables for Fall/Winter and Spring/Summer.
- Assist with preparing materials for departmental program curriculum, including material for approval by the Faculty Curriculum Committee frequently.
- Coordinate student opinion surveys for each class taught by a member of the department.
- Deliver/retrieve departmental mail. Update and prepare mailings of department information and maintain office bulletin boards.
- Assists Faculty members with development and submission of research grant applications.
- Other duties within the Department as approved and/or assigned by the Department Chair and/or Dean.
Requirements/Skills:
- High school graduation, supplemented by one-year diploma in office administration or business. University degree preferred.
- Minimum three years of general secretarial and administrative experience in an office environment, and at least one year of directly-related experience.
- Highly proficient in Microsoft Office; working knowledge of Acrobat Professional and Content Management Systems.
- Experience with Colleague by Ellucian is an asset.
- Excellent communication skills, with the ability to maintain confidentiality.
- Demonstrated skills in problem-solving, analysis and consultation.
- Time-management skills with the ability to handle parallel priorities/projects and work both independently and in a team.
