The University of New Brunswick, Fredericton welcomes applications for the position of Secretary PL5 with the Department of Culture & Media Studies. This is a continuing full-time (36.25 hours per week) position with the SALAC employee group. The position is funded by the University Budget with a salary range of $21.27 - $25.16 per hour.
Reporting to the Chair, the Secretary PL5 performs a variety of crucial professional and administrative duties that facilitate the day-to-day operations of a department located in three different locations on campus.
Position summary:
- Provide administrative support for the department; maintain departmental email, phone, greet and deal with inquiries from students, other departments, etc.
- Coordinate department seminar rooms, media labs, and production spaces: keep a schedule and book requests for access; maintain spaces and oversee repairs and upgrades as needed;
- Keep an inventory of department-owned technology (A/V equipment, production equipment, software, computers); coordinate access to technology; maintain/update technology as needed; liaise with CETL (Classroom Technology & Services, Media Lab, etc.), ITS and Facilities Management regarding technology and space needs of faculty & students;
- Maintain department social media accounts;
- Assist the Contract Academic Instructor Assessment Committee with 30+ contracts annually; process stipend course proposals using the on-line system, collect and acknowledge applications, process contracts using Colleague.
- Assist with the yearly departmental budget submission; maintain budgets and budget files, liaise with Financial Services, review and prices travel expense claims and other expenses for the Chair's signature.
- Attend and take minutes for departmental meetings.
- Design, produce and maintain department brochures and course posters; design, produce and distribute flyers and posters for department events;
- Assist with course timetabling; collect and maintain course registration data, prepare reports on enrolment trends & assist the Chair in identifying issues to be addressed in the timetabling process, employ timetabling software to assist in scheduling courses.
- Maintain waitlists for courses and work with the Faculty of Arts Advisors during early registration; review course room assignments and possible room changes, maintain course files and students records as needed.
- Coordinate the hiring and processing of undergraduate Teaching Assistants/Graduate teaching Assistants.
- Other duties as assigned by the Chair.
Requirements/Skills:
- Post-graduate degree. University degree is preferred.
- 3-5 years experience in an office environment.
- High level of proficiency in Microsoft Office Suite.
- Basic knowledge of web editing/HTML.
- Familiarity with media production and/or graphic design would be considered an asset.
- Knowledge of Colleague would be considered an asset.
- High level of organizational skills and the ability to multitask.
- Excellent interpersonal and communication skills.
- Ability to work independently with minimal supervision and meet tight deadlines.
