UNB Access Manager

This August, ITS will be deploying Access Manager, a self-service application for managing and controlling access to UNB IT services and data. Available through the myUNB Portal, this new service will allow faculty and staff to review their current electronic accesses and allows supervisors and UNB administrators to easily and securely review, compare and approve access, ensuring the right people have the proper access to the IT services and data they need.

Why are we doing this?

With hundreds of networks, hardware systems, applications, services, web sites and databases in use at UNB, access control is a complex and, up until now, highly manual process. Currently, different access privileges are assigned many different expiry dates, or in some cases no expiry date at all. This creates a risk where users can continue to have access to UNB services or data they no longer need, such as when someone moves positions or changes departments within the University.

Access Manager will reduce this risk by clearly identifying the individual accesses of faculty and staff and applying consistent expiry dates to each access to help audit these electronic permissions. Additionally, it will greatly streamline the IT access approval process for users and approvers and bring UNB one step closer to a fully automated access rights process.

What does this mean to you?

Faculty & Staff

Access Manager will provide you with a central location to view the IT services and systems you have access to, as well as browse lists of other accesses that can be requested. In most cases, a supervisor will be required to request or renew access via Access Manager on your behalf; however, you will be able to request some accesses directly through the system with no further action from a supervisor.

Additionally, all your current accesses, as well as any new accesses you receive, will be assigned an expiry date. As this date approaches, you and your supervisor will be notified via email as well as within your myUNB Portal Notifications area. Your supervisor will then have up to 30 days to renew or expire the access as appropriate via Access Manager.

Supervisors

Once Access Manager is in place, you will be required to use this new service to request all new IT accesses for staff, as well as renew accesses annually. 30 days prior to a staff member’s access expiry, Supervisors and Alternate Supervisors will be notified via email as well as within your myUNB Portal Notifications area and will then be required to renew or expire the access as appropriate via Access Manager.

Depending on the sensitivity of the access, some accesses may require additional approval from a Portfolio/Envelope Manager or Contact. Note: you will be required to contact departmental Portfolio/Envelope Manager or Contact directly with these requests; only the direct Supervisor, Alternate Supervisor and the staff member who's access is expiring will receive a reminder email and notice within their myUNB Portal Notifications area.

Portfolio/Envelope Managers & Contacts

Portfolio/Envelopment Managers and Contacts will be required to use Access Manager to request and renew staff access to services and data that have been identified as high risk. You will be contacted by Supervisors directly with these requests. When is this happening?

Access Manager is expected to go live on August 6, 2014. Once available, faculty and staff will be able to log in to review their current accesses and Supervisors and Portfolio/Envelope Managers & Contacts will need to request all new electronic permissions through the application.
