Function

Reporting directly to the Chair of the Department, the incumbent provides high level of administrative support to faculty, staff, nursing and health sciences students within the fast pace environment in the Department of Nursing & Health Sciences.
Representative Responsibilities
· Act as the initial contact person for the department to students, faculty, staff and the general public.
· Provide administrative/secretarial support to the department. Create data bases and completing necessary forms.
· Schedule meetings, prepare agendas, records minutes of committee meetings, room bookings, food services.
· Assist with travel arrangements, and process paperwork involved.
· Order and maintain a supply of gifts & parking passes for guest speakers.
· Receive, sort and distribute departmental mail and maintain mailboxes. Maintain office bulletin boards.
· Provide photocopying/printing/scanning services for faculty and staff, which include troubleshooting and placing calls for service.
· Ensure office supplies for the department is adequately maintained and replenished through the University Bookstore.
· Review and monitor departmental budget lines and provide updated information.
· Make specific arrangements for all new faculty/instructors (e.g., office furniture/space, computer access codes, keys, nametags, computer and telephone installations). Develop and maintain a database related to Department inventory such as purchases.
· Assist lab coordinator with ordering lab supplies/equipment and arranging for delivery of same.
· Coordinate with Facilities Management regarding repairs, housekeeping duties, and office moves.
· Proxy for updating Department of Nursing & Health Sciences online telephone directory in the UNB Faculty and Staff Directory.
· Assist the Administrative & Clinical Outreach Coordinator.
· Be familiar with the Contract Academic Employee collective agreement, complete paperwork with regards to postings and hiring of CAE employees.
· Organize and/or assist with various departmental functions. Collection of money, make weekly deposits, assist with the sale of tickets for departmental events. Organize and manage special projects as assigned.
· Maintain Department website.
· Assists Nursing & Health Sciences Coordinator as required.
· Collaborates with Department Support Staff to ensure efficiencies in Department work-flows.
· Other duties as assigned.
Requirements
· High School graduation supplemented by a one year post-secondary education. Three years experience in an office environment, preferably an academic environment or an equivalent combination of education and experience.
· Competence in various computer software, such as MS Office, Visio, Email, and Internet searches.
· Experience in a nursing academic environment an asset.
· Confidentiality and attention to detail required as well as strong initiative, time management and multitasking skills.
· Knowledge and experience in accounting is required.
· Knowledge of UNB’s policies, procedures and accounting systems is an asset.
