Function

This position reports to the Manager of Operations & Administration, and deals daily, in both official languages, with the public in person, by telephone and via email. The incumbent will be responsible for maintain filing, registration records and for the preparation of various schedules, lists, correspondence and reports. This is a position of considerable responsibility in curriculum processing. A large part of the ongoing responsibilities of this position will be maximizing the educational benefit by formatting and proofing curriculum using a variety of software.
Representative Responsibilities
·    Process curriculum as generated from all course areas.
·    Maintain registration records and provide registration summaries at the conclusion of each module/session.
·    Assist with verification of financial transaction systems.
·    Process requests and application forms.
·    Type schedules, lists, correspondence, and reports, in both official languages.
·    Provide and distribute information on the various course formats, on the telephone, in person, and by mail.
·    Act as Programme receptionist, maintaining appointments/schedules for both staff and clients.
·    Assist in maintaining the filing system.
·    Operate computer workstation with proficiency in the use of various MS Office Suite programs.
·    Operate office equipment including Point of Sale Terminal, facsimile and photocopier.

Other duties as required

Requirements
·    High school graduation supplemented by a one-year diploma.
·    Minimum of 3 years’ related office experience or an equivalent combination of training and experience.
·    Fluency in both official languages is required.
·    Excellent working knowledge of, and experience with standard office software (Microsoft Office Suite).
·    Must be well organized, able to handle several tasks at once, prioritize, and be able to work in a team environment.
