The Assistant to the Dean is responsible to provide administrative support to the Dean of Nursing and to support the day-to-day operation of the Faculty of Nursing. This involves administrative duties that are complex and often of a sensitive and confidential nature.
Representative Responsibilities
·    Schedule appointments and meetings; prepare meeting materials and packages; organize events.
·    Maintain faculty member files and official files. Maintain support staff files, co-ordinate filing system for the Dean’s office. Collect CV’s annually.
·    Assist the Dean in drafting and responding to letters, correspondence – including email and reports.
·    Ensure that hiring of new faculty is in accordance with all regulations, including advertising of positions. Collect applications for faculty positions and forward equity information to applicant.
·    Assist with Nurses Association of NB and Accreditation reviews.
·    Responsible for triaging and responding to internal and external requests.
·    Take minutes at Faculty Council. Circulate and file minutes promptly.
·    Initiate assessment process and correspondence for tenure and promotions of faculty members. This involves setting up Level 1 Assessment meetings, periodically organizing meetings, and assisting with distribution of letters.
·    Complete requests for documentation pertaining to students.
·    Process requests for statistical data.
·    Process support staff leave and tuition waiver forms.
·    Accompany the Dean when necessary to site visits.
·    Represent Faculty of Nursing on UNB Committees as assigned by the Dean. Conduct short research projects as directed by the Dean.
·    Responsible for hiring and supervising Work Study students, Intern students from outside UNB and supervision of level 1 IT.
·    Responsible for collecting applications for faculty and staff positions and preparing interview packages for search committee.
·    Post-secondary education in Business Administration/Office Management supplemented by a minimum of five years suitable administrative experience at a significant level of responsibility. A university degree would be an asset.
·    Must possess excellent organizational and administrative skills, report writing skills, and a high level of attention to detail.
·    Good computer skills and working knowledge of Microsoft Office. Experience with videoconference and polycom equipment.
·    Excellent interpersonal skills for dealing with Faculty, staff, students and the public.
·    Ability to work effectively and efficiently in a complex, high pressured and sensitive environment.
·    Ability to initiate and organize work independently, identify and achieve priority objectives, and fulfil assigned tasks without supervision.
·    Knowledge of university, health, and education systems would be an asset.
