Function

This position reports to the Biology Office Supervisor and responsible to provide administrative and secretarial support to the Department of Biology.
Representative Responsibilities
·    Maintain, monitor and reconcile accounts for the Department such as preparing and taking deposits to the bank on campus, invoices, purchase orders, travel claims, personal reimbursements, etc.
·    Process all research related purchases.
·    Create and maintain researcher signing authority letters.
·    Maintain accurate and up-to-date computer and paper files on all biology and bio-chem students.
·    Process applications for Majors, Minors, Honours, Independent Studies and off campus study forms.
·    Schedule appointments for students with academic advisors.
·    Provide shared reception duties for the Biology Office such as process incoming parcels and purchases for distribution, distribution of departmental keys, room bookings, receive, sort and distribute departmental mail, outgoing couriers and attending to faculty, students and general public requests.
·    Process photocopying requests and ensure they are received and distributed to faculty in a timely manner.
·    Liaise with Financial Services, Research Services and other departments when needed.
·    Assist with departmental events, the administration of Student Opinion Surveys and other administrative support to members when required.
·    Other related duties as directed by the Office Supervisor.
Requirements
·    High school graduation supplemented by professional secretarial/administrative assistant program and a minimum of 2 years related experience.
·    Essential knowledge and experience in financial account management.
·    Knowledge and experience with UNB’s financial procedures and policies is preferred.
·    Strong interpersonal and communication skills.
·    Ability to prioritize and complete multiple tasks, work both independently and within a team atmosphere.
·    Demonstrate initiative, organization and work with austere timelines and deadlines; must be accurate and have a keen eye for detail.
·    Must have excellent computer skills and be proficient in e-mail and Microsoft Office.
·    Experience with Colleague and maintaining databases would be considered an asset.
