The Canadian Rivers Institute (CRI), founded in 2001 and hosted at the University of New Brunswick, is a network of 24 Science Director located at 16 institutes across Canada and internationally. CRI Science Directors and their networks of research associates, graduate student, and staff support governments, businesses and communities in making smart, evidence-based decisions through high-impact research.
The CRI requires services of an Administrative Coordinator that will oversee the coordination of its 8 committees, over 50 agreements with service providers and funders, annual events and activities and the day to day operations of the institute.
Representative Responsibilities
·    Oversee the scheduling, organizing, and recording of over 8 committees. This includes preparing meeting agenda and all documents, ensure decisions are coordinated amongst committees, track and follow-up with decision and action items, develop work plans/budgets/policies, and address membership and external stakeholders requests.
·    Develop partnership and service provider agreements. Ensure the appropriate service provider addresses requests from membership and external stakeholders, oversee the financial and administrative process for contracts, and gathering information required for the development of reports.
·    Oversee the coordination of annual CRI events/activities. Coordinate the communications of the events/activities and communicate with appropriate administrative staff of the host institute where the event/activity is held.
·    Assist with the production of the annual report.
·    Respond to general inquiries via email, social media and telephone, and refer specific requests to the appropriate CRI member.
·    Oversee the upkeep of the contact management database.
·    Responsible for purchase order and invoicing.
·    Update and maintain the CRI Standard Operating Procedures manual.
·    Assist with preparation and submission of funding proposals and associated reports.
·    Coordinate hiring process, ensure the training and supervision of co-op students and interns.
·    Oversee the filing of CRI personal files.
·    Oversee CRI’s office and merchandise inventory.
·    Degree in Business Administration. A combination of training and experience may be considered.
·    5 years of experience coordinating and overseeing multiple boards and/or committees. 3 years of experience with database management and overseeing staff and/or contracts/MoUs and partnership agreements.
·    Experience in coordinating research institutes or departments of academic institutions is an asset.
·    Demonstrated attention to detail, exceptional organizational skills, and excellent verbal and written communications skills.
·    Ability to work independently and as a part of a team.
·    Exceptional people and telephone skills demonstrating discretion, tact and judgement.
·    Proven ability to meet deadlines and provide quick reaction to requests.
·    Experience in general bookkeeping, and in budget and financial report development is a significant asset.
·    General experience in annual events organizing and in annual report production 
·    Significant experience with Microsoft software (word, excel, mail) in Apple environment, scheduling software, virtual meeting software, contacts management software.
·    Experience in social media and website management is an asset.
