Function

The Secretary PL4 will be responsible for the Centre’s Administrative duties, with a particular responsibility for administration of a multi-year, collaborative research and development project sponsored by Emera Inc. and the Atlantic Canada Opportunities Agency.
Representative Responsibilities
·    Coordinate preparation of reports, proposals, presentations, and other documents, including Word, PPT and Excel documents.
·    Coordinate HR matters, including student, PDF and staff forms and assisting students at direction of faculty members.
·    General office administration, e.g. preparing travel reimbursement claims for faculty, preparing procurement documents for equipment orders, answering phones, staffing office, etc.
·    Review AIF financial claims and coordinate preparation of AIF reports, including quarterly, annual and final reports.
·    Coordinate meetings and events, including ordering food and beverages, preparing and distributing invitations and agendas, preparing and distributing minutes, etc.
Requirements
·    College diploma in office management or equivalent experience in an administrative and/or financial role.
·    3 to 5 years’ experience in an administrative and financial role, preferably in a university.
·    Excellent interpersonal and communication skills.
·    Knowledge and experience working with university faculty, staff and students.
·    Computer skills including experience with Microsoft Office (particularly Word, PPT, and Excel) and Adobe Acrobat Pro.
·    Ability to work independently, accurately and responsibly.
·    Attention to detail and experience prioritizing and performing work with minimum supervision.
·    Previous experience working successfully with confidential and sensitive material.
