Function

Accountable to the University Secretary, through the Associate University Secretary, the Records Management and Privacy Coordinator contributes to effective management that allows the various academic and administrative units of the University to fulfil their responsibilities related to records management, access to information and protection of personal information and privacy.
Representative Responsibilities
   Write and implement University records retention schedules.
   Develop procedures to assist University units and departments in the implementation of best practices for effective records management for paper and electronic records.
   Pay a leadership role with respect to application and implementation of procedures to respond to requests for access to and revision of personal information, including processes for receiving, documenting and tracking.
   Update, maintain and deliver training and orientation programs for all members of the University community on compliance with the University’s privacy policy and update and maintain the online protection of personal information website.
   Through the University Secretary, liaise with University Solicitor’s office as may be required on matters related to the release of University records containing personal information, and interpretation of RTIPPA’s privacy provisions as they apply to the University.
   Act as primary contact person in the case of suspected privacy breaches.
   With the Senior Records Assistant and ITS, monitor systems development and operation for compliance with RTIPPA.
   Maintain current knowledge of applicable access to information, protection of personal information and privacy legislation and regulations.
   Assist Communications and Marketing in managing public perception of data protection and privacy practices for the University.
   Advise and brief the Associate University Secretary and the University Secretary as required on matters relating to access to information, protection of personal information and privacy.
Requirements
   Completion of a University degree, accompanied by records and/or information studies, plus a minimum of two years’ experience in the principles and practices of right to information; comprehensive understanding of specific relevant legislation (RTIPPA). Preference will be given to those with post-secondary or university designations in information or record management and/or archival studies.
   Experience in University or similar academic setting is preferred.
   Experience working with various levels of administration and support staff, strong interpersonal skills.
   Knowledge of various legislation governing academic records.
   Demonstrated knowledge and application of information management and record keeping.
   Strong organizational and administrative skills, superior oral and written communication skills.
   Interpersonal skills to deal with all levels of administrators, faculty, staff, students, and the general public in an effective and courteous manner.
   The ability to plan, implement, monitor and evaluate projects, as well as the ability to establish priorities and work to deadlines.
   Identify and achieve priority objectives, organize work independently, fulfil assigned tasks and meet critical deadlines.
   Exercise discretion, diplomacy and tact.
