Function
Reporting to the Academic Director of the Research Data Centre and the Directors of a new research institute, the Office Manager is responsible for organizing and coordinating office operations and procedures in order to ensure organizational effectiveness and efficiency.
Representative Responsibilities
• Consult with relevant stakeholders in various projects and accurately track project deliverables and due dates.
• Manage financial accounting and budgetary duties including; budget preparation, purchases, monitoring expenses, accounting for departmental revenues and chargebacks, and related accounting duties acting as signing authority on operational, grant and contract accounts.
• Communicate with academic researchers, administration, media representatives and government officials on a local, national and international scale.
• Assist in the hiring and supervision of contract and term staff positions as well as establish and maintain RDC and Institute sick leave, vacation time, staff changes, etc. Prepare job descriptions, payroll forms, and audit personnel time sheets for accuracy.
• Attend meetings and conference calls as required by directors as well as coordinate and assist in the preparation by contacting parties, book rooms and arrange food services.
• Oversee the completion of researcher surveys and assist with the preparation of annual reports.
• Provide general and office management support, maintain inventory and purchase office supplies.
• Provide research assistance by sourcing and retrieving journal articles as needed.
• Support the efficient day-to-day operation of the EDC and the Institute by working with staff to address operational requirements and liaise with the appropriate NB departments to address these issues.
• Prepare department correspondence, advisories and memos for distribution.
• Monitor work of administrative support for the institute and the RDC.
Requirements
• Post-secondary diploma from a Community College, Business College or University with a focus on accounting and/or business.
• Minimum 5 years related experience in a similar position in the private sector or university environments with broad range of responsibilities including managing large funding grants from CFI and CIHR.
• Excellent proficiency in the English language is essential while the ability to comprehend French would be an asset.
• Excellent knowledge of computers, data input and output capabilities, along with proficiency in Microsoft Office and Datatel software.
• Ability to work unsupervised, exercise self-initiative with sound work ethics & discretion.
