Function
Under the supervision of the Coordinator – Adult Learner Services, the incumbent provides administrative support, client services, trouble shooting, student support and promotional assistance for established programs and services.

Representative Responsibilities
• Act as the first point of contact for all program and services inquiries associated with the portfolio; effectively respond to student inquiries in a timely manner.
• Provide general administrative support to the Coordinator Adult Learner Services.
• Guide and assist potential students in general UNB processes for starting a course or program, student support options for programs and services administered by Adult Learner Services and some non-credit programming.
• Assist in program evaluation, policy and process development and improvement; provide relevant anecdotal input about administrative processes; and prepare student and program related statistical and financial summaries.
• Develop and maintain database and spreadsheet records for programs and support services.
• Use appropriate university records management systems to enter and monitor student, program and financial information, and to produce program-specific reports.
• Assist in the production of research, reports, and other program materials.
• Assist in the coordination and delivery of information sessions about the ALS programs and services.
• Serve as an information officer for the Unit, as required, at promotional events, career fairs and community information sessions (includes some travel).
• Support the coordination of workshops that may be offered in partnership with Faculties and the Learner Support and Delivery Unit.
• Liaise with program partners and suppliers about standard program related issues.
• Assist with the distribution of marketing materials and promotional relevant to ALS programs.
• Assist in reviewing and updating all Adult Learner Services – related literature, brochures and web-based material.
• Provide reception services for the College, as required, during scheduled busy times of the year, or as needed.
Requirements
• Minimum of two-year business college diploma in office/business administration or an equivalent combination of training and experience. A university degree is preferred. 3 years of related experience in a continuing education setting is preferred.
• Under general supervision, exercises judgement, exhibits initiative, and demonstrates planning abilities to identify and solve problems.
• Comfortable working in both collaborative and autonomous situations.
• Excellent organizational and communication (oral & written) skills, data and project management skills.
• Demonstrated success in exemplary client service.
• Demonstrated knowledge of Prior Learning Assessment & Recognition (PLAR) in a university context is an asset.
• Ability to work in a fast-paced, diverse and entrepreneurial environment.
• Genuine interest in working with adult learners engaged in post-secondary education.
• Strong computer skills – high level of proficiency in MS Office is required (particularly Excel); experience with a database management and CRM software – familiarity with the Mac OS system/programs is desirable.
• Ability to work flex hours during peak times.
