Function
Reporting to the Accounts Payable Supervisor, the incumbent has shared responsibility with a second AP Administrator for timely auditing & payment of supplier invoices, Travel Advances & claims, Personal Reimbursements, Petty Cash and Vendor Payments. The incumbent is also responsible for customer service.
Representative Responsibilities
• Audit, tax and payment of Travel & Personal Reimbursements and Petty Cash to comply with University Policies & Procedures.
• Audit, coding and payment of supplier invoices.
• Verification of entries posted to the general ledger.
• Customer Service to Canadian, US and International Companies as well as faculty and staff.
• Data entry of UNBSJ Travel & Personal Reimbursements.
• Take note of and report any inconsistencies within Colleague Financials to the Manager of Accounts Payable.
• Backup of other AP Administrator positions as required.
• Other related duties may be assigned from time to time.
Requirements
• High school graduation supplemented by a recognized accounting diploma or degree.
• Three years relevant and recent experience, including two years accounting experience working with an on-line computerized accounting system. Must have a sound understanding of Accounts Payable and hands on experience. Organize and prioritize own work.
• Experience using Datatel would be an asset.
• Knowledge of University policies & procedures would be an asset.
• Above average key boarding skills and demonstrated accuracy is a must.
• Working knowledge of Microsoft Excel.
• Customer service oriented with good communication and interpersonal skills.
• Must be able to work quietly, independently in an open office environment.
• Detail and deadline oriented.
