Function

This position is the Assistant to the Dean of Law and is responsible for providing support and coordination related to numerous decanal duties and tasks associated with the LL.B. programme.
Representative Responsibilities
   Provide administrative assistance to the Dean.
   Coordinator certain decanal tasks and responsibilities in the absence of the Dean.
   Maintain all human resources records including: maintain records relating to faculty and staff, assist with hiring of support staff, including participating in the interview process, and assist with hiring of student research assistants, including processing staff change forms, advising students with regard to tax and payroll forms, and approving hours worked.
   Coordinate, maintain and monitor the Faculty’s operating budget, endowment and heritage accounts including: prepare yearly operating budget submission, develop and maintain financial spread sheets and accounts for all operating, endowment and heritage accounts, prepare periodic financial statements for information of Dean and Associate Dean, pay and track invoices, oversee purchase of supplies, furniture and equipment, assist faculty members with the completion of travel claims, PDA expense claims, travel advances, cheque requisitions and other required forms, maintain petty cash fund for the Dean’s Office, coordinate all telephone service requests and track monthly telephone bills, liaise with Financial Services, Vice-President’s Office, Human Resources and other University departments periodically on financially-related business, and insure compliance will all University systems policies and procedures related to finances as well as outside funding organizations.
   Investigate and resolve administrative issues and concerns brought to the attention of the Dean of Law.
   Provide information to students and process applications regarding the Dean’s emergency fund.
   Coordinate New Brunswick Law Foundation/UNB Faculty of Law Endowment trust applications and files and arrange annual meeting of the board of Trustees.
Requirements
   Diploma in office administration or equivalent, preferably supplemented with three to five years’ experience, including experience in administration of finances.
   Demonstrable skills with Microsoft Office Suite and database programs. Familiarity with accounting software would be an asset.
   Ability to manage diverse accounting materials and financial information.
   Ability to work independently, accurately, and responsibly with minimal supervision.
   Excellent organizational and interpersonal skills.
   Ability to communicate well, both orally and in writing.
   Attention to detail and confidentiality.
