Function
Manages the online Collaborative Assessment of Student Abilities (CASA) and Faculty of Nursing approved Student Opinion Surveys. Provides administrative support and performs various office duties for the Associate Dean requiring initiative and independent judgment.
Representative Responsibilities
• Manage the online Collaborative Assessment of Student Abilities (CASA) which involves 1800-2000 CASA per year spread over 4 terms involving 400-450 students and 70-80 clinical instructors.
• Administer and operationalize Faculty approved Student Opinion Surveys every term for relevant courses.
• Maintain the Associate Dean’s calendar, regularly assumes responsibility for prioritizing requests for meetings, conferences and appointments. Maintenance of a high level of confidentiality is a priority assumption.
• Assess and triage incoming calls or drop in appointments, determining what course of action or contact is required for satisfactory disposition.
• Compose a variety of relative correspondence, reports, confidential documents, and/or forms and related materials.
• Responsible for gathering enrolment data for all three campuses (Moncton, Bathurst and Fredericton). Use this information to prepare reports for NANB and CASN.
• Handle confidential matters involving both students and faculty.
• Collaborate with the Associate Dean to coordinate Faculty orientation program(s) and to prepare orientation packets for program instructors.
• Attend meetings and records minutes, summarizing for typing and distribution.
• Compile statistical data for the Associate Dean as requested.
• Attend Faculty functions, when required, to ensure satisfactory outcome.
• Arrange and provide support for video and teleconferencing meetings as needed.
• Make travel arrangements for the Associate Dean as required.
Requirements
• Post-secondary education in business, secretarial, office administration. A university degree would be an asset.
• A minimum of five years’ experience preferably in a university administrative support position.
• Must possess excellent organization and administrative skills and a high level of attention to detail.
• Experience/skill in administering, designing, programming Web based surveys.
• Excellent written/oral communication skills; excellent interpersonal skills.
• Demonstrated ability to prioritize complex and varied workload; delegate and meet deadlines.
• Excellent time management skills – manage complex tasks under time pressure with attention to detail.
• Ability to initiate and organize work independently.
• Ability to meet the time lines of Faculty and the University at large.
• Proficiency in Microsoft Office programs – Word, Excel, PowerPoint, and Access.
• Proficiency in technical support for video conferencing (in collaboration with UNB-ITS).
