Function

The Conference & Event Coordinator works within the Conference Management unit and is primarily responsible for coordinating, planning, and delivering conferences and events on the UNB Fredericton campus. This position will also provide support to the sales and marketing unit, special events unit and the central booking office. The incumbent is responsible for providing professional service, accurate and timely administrative functions and successful business development/growth of the Conference Management and Special Events units.
Representative Responsibilities
·    Develop event plans for conference management clients.
·    Coordinate all aspects of pre-conference planning; including name badge creation, delegate package preparation, program creation and printing, preparing registration desk materials and running event reports for all stakeholders.
·    Develop scope of work documents for all small conferences and events managed through the office.
·    Provide support to the Senior Director in sales, marketing and other business development related initiatives.
·    Engage in sales and marketing activities on behalf of UNB Conference Services including sales initiatives in key markets; trade shows; promotions; attendance at industry events; assist with the hosting of familiarization tours and site visits and ongoing recruitment of new clients and retention of current clients.
·    Actively engage in direct sales activities through cold calls, sales appointments, planning promotional events, distribution of promotional material, and attending related industry events.
·    Actively contribute to the growth and advancement of Conference Services on an ongoing basis by promoting our services and facilities.
·    Build and maintain positive relationships with potential and current clients, independent meeting planners, and key industry contracts in order to raise the profile of UNB Conference Services.
·    Conduct tours as required and recommend appropriate space allocation to meeting planners.
·    Take the lead on and/or provide support in executing a number of special events for the University and for our external clients.
·    Develop and implement special event plans for clients.
·    Provide on-site support at special events hosted by UNB or its’ clients on and off campus.
·    Coordinate event volunteers and ensure that they are providing a high level of professional service to our clients.
·    Support team members across all units in Conference Services.
·    Provide support during peak times specifically at the Wu Conference Centre and in the Central Booking Office.
Requirements
REQUIREMENTS:
·    Undergraduate degree in business administration, public relations, event management or hospitality & tourism.
·    1 – 3 years’ experience in client service, preferably in meeting & event planning, experience planning and delivering events, preferably in the hospitality and/or meetings and conventions industry or a university setting.
·    Experience working in a University environment would be considered an asset.
·    Exceptional written and oral communication skills and a demonstrated ability to listen actively and respond in a manner that is positive and clear.
·    Relationship-building and client-service orientation including the ability to cultivate positive working relationships with superiors, peers, subordinates, clients, and partners.
·    A true team-based approach and can-do attitude, including the ability to succeed in an often ambiguous environment with the ultimate goal of client satisfaction and retention.
