This position is responsible for providing excellent customer service to all faculty, staff and students who visit, call or email the Financial Services office by greeting and assisting our clients/customers. The Receptionist also provides administrative support and financial transaction processing as part of the daily operations of the Student Accounts & Receivables Services section.
Representative Responsibilities
·    Greet customers in person at Student Accounts reception in a friendly, courteous, and helpful manner.
·    Receive, stamp and distribute incoming mail. Check and sort outgoing mail and provide daily mail pick up with various offices in the Sir Howard Douglas Hall building.
·    Prepare letters, statements, receipts and other correspondence upon request.
·    Assist Receivable Clerks with mailing invoices and statements to clients and students.
·    Prepare accounts for collections, set up collection receivables and maintain a spreadsheet containing the particulars for those students who have had collection activity.
·    Share responsibility for answering student e-mail inquiries.
·    Prepare Emergency Loan documents on a weekly basis.
·    Accurately enter and process adjustments on various receivable accounts.
·    Process journal entries to distribute funds to various general ledger accounts.
·    Order office supplies, paper and forms for Student Accounts and be responsible for the organization of supply room.
·    Submit Work Order requests to Facilities Management.
·    Maintain office bulletin boards ensuring that the information is complete and current.
·    Record, program and maintain the automated telephone system for all of Financial Services.
·    Maintain an accurate filing system.
·    Provide back up to other Administrative positions when needed.
·    Perform other duties as assigned by the Manager of Student Accounts and Receivables.
   High School Graduation supplemented by a relevant diploma. Three years of relevant customer service experience working within a computerized office environment. Preference will be given to individuals with education or experience in accounting.
   Must be able to multi-task, organize and prioritize own work.
   Accuracy is a must to ensure correct information is provided to clients.
   Above average keyboarding skills along with a minimum of an Intermediate level of proficiency in Microsoft Office.
   Familiarity with web application software for website maintenance under Content Management System would be an asset.
   Ellucian Colleague experience would be an asset.
