Function

Reporting to the Associate Registrar (Records & Registration Services) this position works in a team environment and is responsible for administrative, student support and decision making for the following program areas: Grades, Deferred Exams (on/off campus requests), CO-OP & PEP Program and other related registration functions. Also, administers Final Course Grade Review applications/processing for Faculty Review Committees and liaises with external and internal partners and other institutions related to student issues regarding these services.
Representative Responsibilities
·    Responsible for grade entry and grade administrative duties. Liaises with Financial Services/Instructors (re: billing and student registration problems); advises students of course grade(s) held; process grade changes; and missing grades.
·    CO-OP & PEP primary contact, data entry for student registration/work placement; advises coop coordinators; and contacts external work placement partners when required.
·    Receive/Input all Major, Honours and Engineering options in Colleague and perform other related duties, as required.
·    Responsible for student correspondence, academic standing changes and close /open student programs, provide accurate record of student registrations.
·    Provide daily coverage for Reception/Customer Service area: Input/process Colleague requests; transcript requests; record/balance transcript fees/student admission fees; provide letter services requests; process education forms; process mail/courier shipments. Provide back up during high volume periods for processing/coding/approve off campus study form.
·    Process deferred exams/ off-Campus exam applications. Make decisions on approval, primary contact for students and instructors, collect payment, track administratively, coordinate invigilators, create secure exam package and work out all details for shipping domestic/international, maintain a high level of accuracy, confidentiality and provide guidance on university regulations.
·    Review Final Course Grade Review applications/inquiries from students and instructors, along with course documentation and constant monitoring, process necessary steps to ensure student's submission is in accordance with the regulations and complete while adhering to deadlines. Liaise with Faculty /Departments to set up a Review Committee, recording the decision, communicate outcomes to students and effects on their record. Dbase administration. Process grade changes.
·    Provide back up to STU program registrations and inquiries.
·    Provide support to process student complete withdraw requests during peak times, advise faculty departments, remove students from courses, document withdraw information for reporting.
Requirements
·    University Degree OR Office Administration Training and five years' related experience, OR an equivalent combination of training and experience. Demonstrate skills in problem solving and decision making. Excellent Communication skills.
·    Demonstrated 5 years of experience in a Customer Service - team oriented environment, attention to detail, exceptional organizational skills, high level of accuracy and excellent verbal and written communication skills required.
·    Ability to work independently and as a part of a team and proven ability to meet deadlines/provide quick reaction to requests. Exceptional people and telephone skills demonstrating discretion, tact and judgment.
·    Experience working in a Microsoft Windows environment with demonstrated MS Office skills (particularly Word, Excel and Outlook).  Data entry/keyboarding, basic Internet literacy with use of a variety of Web Browsers.  Experience with an enterprise computing system such as Colleague preferred.  Adobe Acrobat, Entrinsik Informer, and Footprints skills also preferable.
