Function

This position is accountable to the Registrar for the efficient management of the day-to-day operations of the Registrar’s Office and all that this may entail. There are two main streams of responsibility of this position. The Associate Registrar will oversee academic records, and administrative functions. This is done by direct application, or overseeing of basic policies and regulations of the University.
Representative Responsibilities
·    Manage the student record system for the Saint John Campus, coordination and implementation of course changes on the system. Coordination of course caps, creation of sections and other factors to discipline and room availability.
·    Assist the Registrar with the compilation of data related to student records.
·    Process and coordinate the scheduling of exams and any supplementary invigilation requirements. Coordinate exam room assignments and deal with any problems that result from conflicts in exam times, location or other reasons.
·    Preparation of timetables for all academic sessions based on the submissions from academic units.
·    Responsible (supervises staff) for issue letters, transcripts and other documents based on the needs of the student and faculty constituencies.
·    Oversee the activities of the staff members who report to this position and manages the schedule of part-time help, holidays, overtime and students hired to assist in peak times.
·    Responsible for all campus specific and university wide student records for this campus. Works closely with the Associate Registrar on the Fredericton Campus on student related and shared service issues.
·    Provide coordination of all special needs students who present themselves to the Registrar’s Office.
·    Responsible for the overseeing the admission of undergraduate students.
·    Work with UNBF units to ensure integration of processes and optimal use of university resources related to student admissions and scholarships.
·    Ensures accuracy and integrity in student records. Implement all admissions regulations, policies, interprets them for students, faculty and staff.
·    Responsible for preparing, analyzing and distributing reports on applications, confirmations and registrations.
·    Other duties as assigned by the Registrar.
Requirements
·    Master’s Degree preferred; however, an undergraduate degree and relevant experience will be also considered.
·    Five or more years’ experience in a supervisory capacity, preferably in a university environment with increasing levels of responsibilities.
·    Excellent communication and interpersonal skills with the ability to work as part of a team.
·    Familiarity with computer technology and software packages.
