Function

This position reports directly to the Associate Registrar (Records & Registration) and provides daily administration of student appeals and academic offence responsibilities for the Senate Student Standings and Promotions Committee (SSS&P) which reviews student appeals of academic decisions and charges of academic offence. In addition to the main duties of appeals this position is also responsible for UPS order support, challenge for credit requests and compilation of confidential information for annual reporting.
Representative Responsibilities
·    Provide administrative duties for the appeal applications. Compile case information to be presented at SS&P committee meetings. Prepare official letters of decision, contact faculty with requests concerning student records; receive medical and compassionate support documentation along with student letters of appeal. Contact students to advise on proper documentation required or redirect the student to the Student Advocate for additional support.
·    Responsible for processing Challenge for Credit applications
·    Assist the AR with accurate and detailed statistical information pertaining to appeals for each reporting term
·    Responsible to meet with students regularly, and answers questions posed to them related to the appeal process and general interpretation of the academic regulations.
·    Ensure that inquiries are responded to expeditiously and accurately with a high level of confidentiality.
·    Provide follow up with students with respect to any decisions made by the committee.
·    Responsible for managing the appeal@unb.ca e-mail account inquiries and maintain a current group list serves.
·    Comprehend the assessment procedure in order to be able to explain how academic decisions (i.e. academic probation required to withdraw) are calculated
·    Attend and take minutes for various meetings discussing topics related to the Registration and Records unit.
·    This position is responsible for arranging weekly SS&P Committee meetings, preparing schedules, creating agendas, maintain the appeal database, track decisions; compile information for tracking notations on student records.
·    Recommends to the AR cases to process through to active faculty subcommittees for a decision
·    Act as liaison with academic units, instructors, students and the public with respect to records and registration information, student appeals, and the University Calendar Regulations & Policies. This position corresponds daily with Faculty/Departmental staff with respect to appeals and especially Student Services and Affairs regarding student cases.
·    This position supports the preparation and online ordering of transcript courier requests and time sensitive documents within the Records and Registration unit during high volume times throughout the academic year.
·    This position assists on special projects when required and assists in other areas of the Registrar’s Office as assigned.
Requirements
·    University Degree is preferred or Office Administration Training with five years’ related experiencer OR an equivalent combination of education and experience.
·    Demonstrated attention to detail, exceptional organizational skills, and excellent verbal and written communications skills.
·    Ability to work independently and as a part of a team.
·    Exceptional people and telephone skills demonstrating discretion, tact and judgement.
·    Proven ability to meet deadlines and provide quick reaction to requests.
·    Computer skills including data entry, MSOffice, Adobe, and the use of Internet and email programs.
