This position is accountable to the Dean of Science and responsible for the coordination and management of all facets of the administrative, academic and budgetary operations within the Faculty of Science. With associated diverse, complex, and highly confidential responsibilities, the incumbent must utilize and implement a high degree of initiative, diplomacy and discretion to ensure the increasing demands both of and for the Faculty of Science are met.
Representative Responsibilities
·    Provide exemplary administrative assistance to the Dean of Science with a high degree of discretion and diplomacy.
·    Maintain the calendar of the Dean, as well as meeting/committee documents.
·    Manage the budgetary aspects of Faculty of Science accounts and ensure accounts are monitored accordingly.
·    Manage and facilitate administrative support to the core operation and special events within the Faculty of Science.
·    Develop and implement a short-term administrative backup plan throughout the faculty of Science to provide replacement/work coverage in the event of emergency/vacation absences.
·    Manage and implement initiatives of all available resources for wide range of diverse and difficult situations.
·    Ensure general public, faculty members, support staff, and students are treated respectfully, fairly and objectively and as expeditiously as possible.
·    Prepare meeting materials and record minutes at various meetings and committees.
   An undergraduate degree or diploma in Business Administration, with a focus in accounting. A minimum of 10 years of progressive administrative experience is required with extensive knowledge of computer applications, accounting procedures, and proven ability to work independently under pressure in a professional and mature fashion.
   Experience in a post-secondary institution would be an asset.
   Proven high level of professionalism. Superb communication skills and interpersonal skills.
   Attention to accuracy and efficiency with a solid understanding of records management.
   Exceptional ability to manage multiple competing tasks with priority recognition and time-management skills.
   Excellent organizational and decision making skills.
   High degree of sensitivity, respect, and protection of confidentiality.
   Exemplary sense of discretion, tact, diplomacy, and maintenance of composure.
   Knowledge of Collective Agreements and University policies, procedures, and protocols would be an asset.
